Job Description:

In general, this position will report to the Regional Sales Director and work closely with other team members to create and prepare schedules, communicate with internal and external staff or clients who need assistance, and keep organized records. This position will also be responsible for maintaining effective workflows through efficient management across various departments within the organization.

 

This is a non-exempt position and would report to the Regional Sales Director.

 

Specific Responsibilities include:


  • Assist the Service Delivery Area with special projects and hiring tasks such as posting job descriptions to job boards, cleaning up job boards to meet standards, assisting with updating TAM processes and procedures, assembling corrective action documentation, scheduling meetings as needed, and performing other administrative duties as required for the Talent Acquisition Area.


  • Coordinate interview scheduling with hiring managers, offshore sourcing team and candidates. Handle the day-to-day management of various processes including monitoring and identifying open issues and responding to Talent Acquisition Managers (TAM), hiring managers and candidates to assist in the hiring and onboarding experience.


  • Organize both digital and physical documents.


  • Maintain organization of the Service Delivery Area and ensure area efficiency. Manage office inventory in an effective manner and work closely with the office vendors and internal staff. Assist with inventory process to ensure client and/or DSI Field Staff associated with Service Delivery Area is returned.


  • Provide ongoing support to the staff and employees.


  • Follow office procedures and assist as needed with other areas of DSI and the leadership team to make changes to office policies when necessary.


  • Assist with scheduling meetings, arranging travel, and more.


  • Assist with writing, copywriting, proofreading, and other writing tasks.


  • Other duties as assigned.

Educational/Experience Requirements include:

  •  High school diploma or GED required.
  • Bachelor’s degree in Marketing, Communications, Business Management is a strong plus.
  • 1-3 years of experience in a previous administrative support role.
  • Strong written and verbal communication skills, Excellent data entry skills, and time management skills.
  • Prior experience assisting with office administration needs. 
  • Represent Diversified Systems in a business professional manner.
  • Experience and computer savvy with skills in Microsoft Office 365 Tool Suite, other common office applications, and multiple internet browsers.
  • Experience with any CRM & ATS systems, preferably JobDiva.
