We are seeking an experienced Senior Administrative / Executive Assistant who can proactively leverage the time and multiply the effectiveness of one of our pivotal executives, our Chief HR Officer. You’ll keep the plates spinning, sift through distractions and find the efficient path forward, create polished executive presentations and organize meetings and stakeholders. With thoughtful, accurate, and proactive support, you’ll help to advance HR goals across the global enterprise.
This role is remote, but you’ll be working Central Time Zone hours to support our busy CHRO. Working hybrid from our office in Wayne, PA or Des Moines, IA is also possible, but not required for success.
Your ability to multitask, prioritize on the fly, understand context and impact of HR projects will all be critical to success. Our ideal candidate would have previous experience in HR, though significant EA background with “Executive Leadership Team” exposure is also a strong fit.
Day to day
- Responding to internal and external enquiries or requests and providing assistance to our CHRO.
- Creating and updating PowerPoint presentations for special projects and meetings.
- Planning events and meetings, including vendor management meetings, CHRO broadcasts, HR Leadership meetings, project review meetings, and more (media and equipment needs, activities, location setup and catering)
- Effective facilitation of meetings, including preparing agendas, taking minutes, tracking action items, and proactively following up on action items and outstanding issues
- Maintaining relevant documents and files on SharePoint sites
- Drafting and disseminating HR Communications
- General administrative responsibilities include purchase order and invoice processing expense report review and settlement for executive and direct reports; performance management data entry, ordering supplies, updating organizational charts, answering and tracking miscellaneous inquiries to completion, and escalating sensitive items
- Other duties as assigned

Essentials
- High school diploma required; Bachelor’s degree preferred
- 5 years of experience in a related position (similar to Senior Administrative Assistant, Senior HR Assistant, or Executive Assistant supporting a senior executive or functional leader in a large or complex company).
- Experience navigating executive and leadership levels within a diverse, global organization
- Proven experience as department coordinator or relevant administrative position
- Outstanding communication and interpersonal skills
- Ability to handle data with confidentiality
- Well-organized with a skill in time management
