What are the responsibilities and job description for the HVAC Parts - Service Coordinator position at DOC Maintenance Inc?
Description
HVAC Service/Parts Coordinator is critical to work with the internal team members & technicians to scheduled service work orders and route the service crews to make needed repairs and complete scheduled projects. Collecting information from a work order, developing an accurate proposal and submitting it to our customers for approval. Maintain accurate reporting of the company’s inventory counts and levels.
- Assists and supports HVAC-R inventory levels, communicate with parts vendors as needed
- Source parts locally as needed to close out calls; may assign DOC part numbers for new parts when required
- Troubleshoot and resolve product issues and concerns, developing and maintaining a knowledge base of evolving products and services
- Document and update customer records based on interactions
- Accurate scheduling and ordering of necessary resources
- Creating accurate proposals and submitting them to our customers
- Develop and maintain professional working relationships with coworkers, supervisors, vendors, customers, and technicians.
- Handle full cycle processes for warranty parts return through credit
- Actively monitor vendor performance, delivery, quality, price, communicate same
Requirements
- Experience in customer service, sales or related field
- Exposure to dispatcvhing, quoting, but willing to train right candidate
- Effective communication with technicians, vendors and customers
- Monitor changes that affect DOC and customer
- Ability to plan and prioritize, with accuracy in a fast-paced environment
- High school diploma or GED required
- Self-motivated, strong organization and detail oriented
- Excellent written, verbal, and electronic communication skills.
