Position Summary
This full-time staff member has administrative responsibilities to the Undergraduate Nursing Program that include writing and maintaining minutes of the monthly faculty meetings, organizing accreditation reports, keeping contact lists current, and maintaining clinical faculty health records.

Core responsibilities involve managing a variety of administrative activities around the main nursing office. The Administrative Coordinator is responsible for managing department operations and implementation of policies and procedures in the Undergraduate Nursing Department. Acting as a liaison, the Administrative Coordinator collaborates as needed with other campus offices to ensure students' progress successfully through the Nursing Program. The Administrative Coordinator will provide requested information to external reporting and accrediting agencies.

Key Responsibilities include administrative management, policy implementation and coordination, Assistance with hiring and supervision of staff and student workers, compliance with professional accreditation standards, and budget management and monitoring. The Administrator also serves as the primary administrative support for the Chair/Program Director.




Responsibilities

Assistant to the Chair / Administrative Coordination and Communication
  • Serve as the first line of contact to the department of nursing and manage all standard front office departmental functions, including supervision of the work study students who serve as the receptionist for the Department.
  • Assist with hiring, training, and supervision of department assistant/work-study students.
  • Collaborate with the Chair to update and maintain currency of the Student and Faculty Handbooks.
  • Collaborate with Chair to maintain the departmental budget; reconcile program P-card with department Chair on a monthly basis.
  • Collaborate with the Chair on departmental projects, and accreditation or BRN approval review processes.
  • Collaborate with the Chair to organize and implement departmental events and activities, including regularly scheduled departmental meetings, special events, and senior commencement week activities, Department Alumni Council, and senior events such as the pinning ceremony and class picture.
  • Collaborate with the Chair and the Program Directors to ensure new faculty orientations to college operational procedures and facilities and assist with orientation to administrative matters.
  • Maintain all departmental records, including curricular, policy changes, accreditation, and academic advising materials on the nursing server.
  • Maintain an Alumni Database.
  • Monitor all official Departmental correspondence to ensure quality and consistency and collaborate with Marketing on the departments web page .
  • Order and maintain inventories for all departmental resources.
  • Assist in maintaining all clinical agency contracts/files, update contact information from agencies yearly and provide certificates of insurance as needed to ensure that contracts are up to date for clinical placements.
  • Assist with supervision the work study students and facilities in the maintenance of departmental areas, including the office, the halls, and the bulletin boards.
  • Take, transcribe, and distribute minutes at monthly department meetings, at monthly nursing committee meetings, and at nursing student/faculty forums.
  • Assists students by directing them to the correct resources and responding to general department questions.
  • Maintains student files and up-to-date database as well as enters new students into the database.

Perform other duties as assigned by Chair / Dean

Undergraduate Program / Faculty Support
  • Provide information for graduating senior nursing students regarding graduation, pinning, and NCLEX.
  • Provide students with forms and Instructions needed for program progression and completion, RN licensure, and PHN certification.
  • Offer administrative support as needed to the Dominican Nursing Student Associations (DNSA & AAMEN).
  • Collaborate with faculty regarding scheduling rooms for special events if needed
  • Provide department orientation and support for new faculty.
  • Direct faculty to appropriate campus resources and information, as needed.
  • Update faculty on a regular basis regarding meeting dates, academic deadlines, and other time-sensitive matters

Professional Accreditation Compliance
  • Liaison between nursing department and Board of Registered Nursing to provide documentation for all BSN and 30-unit option students completion of program and degree requirements.
  • Under direction of the Chair and/or Program Director, assist in the production of external accreditation self-study reports, as well as bi-annual and annual reports required by BRN and CCNE
  • Coordinate on-site accreditation reviews with BRN and CCNE.
  • Ensure and track faculty licensure compliance.
  • Initiate and maintain BRN faculty and facility approval forms.

Budget Monitoring
  • Work closely with the Chair and/or Program Director in developing and managing department operating budgets.
  • Monitor department budgets including reconciliation, deposits, expenditures, and signing authority for expenses and reimbursements for on and off-campus sites.
  • Process purchase orders and reimbursement requests in a timely manner.

Required Qualifications:
  • Bachelors degree from four-year college or university
  • Minimum 4 years relevant work experience / administrative experience; or equivalent combination of education and administrative work experience
  • Proficient in Microsoft Office Suite, Google Suite, and ability to master on-campus data systems.
  • Experience with database management
  • Excellent interpersonal, verbal, writing communication and presentation skills.
  • Must be able to communicate clearly and interact effective with students, faculty, and staff from a broad range of programs and disciplines
  • Self- motivated and ability to work independently and manage timelines in a deadline driven environment
  • Present a professional and confidential manner to promote such professionalism within the department and expect and promote such professionalism of all staff.
  • Understanding of FERPA, HIPAA, and other legal and ethical considerations.

Preferred Qualifications
  • Work experience in higher education
  • Knowledge of and/or work experience in a health care profession
