Position Management Guide
TITLE: Human Resources Coordinator
Summary of Purpose
This position is responsible for district employee benefits and assisting with personnel related tasks. Critical areas include: financial and personnel reports, professional staff certifications, employee attendance, correspondence, workers’ compensation, employee benefit reimbursements and retiree insurance.
Essential Functions
1. Meets with all new employees to complete employment paperwork and explain benefits. Gathers initial personnel data on all new employees to complete payroll/personnel files as well as processes benefits for all staff.
2. Counsels and assists employees with regard to employment benefits and related areas, e.g. health insurance, employee assistance program, wellness program, retirement program and professional staff certifications.
3. Assumes responsibility for the preparation and filing of financial and personnel-related reports on a monthly, quarterly and yearly basis including insurance billing.
4. Tracks tuition and workshop reimbursement.
5. Composes correspondence pertinent to position functions and responsibilities.
6. Maintains a comprehensive position procedural manual to support intra-office staff cross training.
7. Maintains workers’ compensation program records.
8. Coordinates and corresponds with retirees with insurance premiums.
9. Corresponds with STS concerning substitutes and verifies STS billing. Maintains and trains staff on AESOP software to obtain substitutes.
10. Enroll/terminate staff from both Health Works and district Wellness programs as appropriate. Maintains Health Works master list and District Wellness master list.
11. Maintains setup in various software such as, Absence Management, My Learning Plan (Professional Growth), PowerSchool, Recruiting/Hiring, Time/Attendance, Safe Schools software and Skyward, etc.
12. Creates new employee badges and setup for building access. Replaces lost or broken badges.
13. Prepares/uploads professional staff PIMS file to PDE.
14. Is the Certifying Officer for PDE “TIMS” (certification changes).
15. Establishes and maintains official personnel files for all employees and monitors access to files.
16. Performs other tasks as appropriate.
17. Maintains an optimum relationship with other staff members by being courteous and always mindful of the importance of confidentiality.

Marginal Functions will vary with the specific assignment and depend on the particular position function for which the person is responsible.
SCOPE AND IMPACT
This position accomplishes most of its tasks through diversified operating procedures. Internal contacts include administrators, the district office employees, the buildings and grounds staff, teachers, principals, students and other school district employees. The external contacts include agencies and other payroll-related organizations.
