Position Overview
The Conference Service Manager organizes all details related to group bookings and events from the Sales Phase to the Post-Event Phase. This includes but is not limited to managing room blocks and rooming lists and detailing food and beverage requirements. Works closely with Catering, Revenue Management, Sales and Marketing, Banquets, Finance and all Operational departments of both hotels.

What you'll do
A day in the life of our Conference Services Manager … it demands high levels of energy in order to keep up. They need consistency even though the days are never alike; and creativity to tackle daily adventures. Owns the servicing and details of all group bookings from the Sales Phase to the Post-Event Phase Liaises with Sales Manager in group turnover process
Prepares conference service related documents throughout the service process (e.g., BEO’s, estimate of expenses, agreements or letters)
Communicates special requests for events (internet, power drops, rabbinical supervision, restroom attendants, etc.)
Coordinates all group needs prior to their visit with appropriate departments and organize pre-con meetings
Prepares and distributes detailed group resume prior to the arrival of each group
Clearly communicates all details and events to the appropriate departments in a timely manner
Manages rooming list in Delphi and ensure constant and timely communication with Reservations Department to manage group blocks in Opera
Interfaces efficiently and professionally with Accounting, Front Desk, Reservations, Security, Bell Staff, Housekeeping, Banquets, Concierge and Kitchen
Maximizes revenues for food, beverage, room rental and miscellaneous expenses
Confirms payments, guarantees, set-ups, signed contract and changes with clients
Maintains excellent knowledge of Delphi to maintain Function Book to include follow-up and logging activities
Responsible for floor plans for each event managed using Amadeus iPlan
Generates detailed Banquet Event Orders and Estimate of Expenses according to contract
Works closely with Banquet team in preparing banquet and event rooms per Banquet Event Order and client specifications
Details client data in Delphi
Attends Daily Business Review Meeting
Attends Weekly Catering Meeting
Must be present for group check in and days of events to oversee set up and greet client
Arranges for summary of charges and review with the contact before departure
