POSITION SUMMARY
$500 SIGN ON BONUS! This position may be responsible for billing and ensuring timely payments of group or company accounts or processing invoices for payment in accordance with the company chart of accounts and expense tracking in a timely manner.
ESSENTIAL JOB FUNCTIONS
The position requires the ability to perform the following essential job functions, with or without reasonable accommodation:
- Identify groups and events to be billed, working with Sales department to ensure valid method of payment.
- Process applications for direct bill privileges and making recommendations regarding the application.
- Prepare, audit, adjust, invoice as needed, and close group billing.
- Maintain active and paid accounts receivable files and ensure timely payments.
- Respond to credit card disputes and billing questions.
- Maintain tax exempt log(s) for all qualifying accounts and guests.
- Receive invoices and attach Pos, prepare these for manager review.
- Set up new vendors in accounts payable or PMS accounting system, update 1099 statuses.
- Process POs and maintain PO log.
- Enter invoices, confirming coding and signatures, prepare invoice batches.
- Prepare accounts payable checks, attaching backup, sending original checks with backup, and filing.
- Maintain and accounts payable monthly vendor logs.
- Prepare accruals based on regular expenses, outstanding Pos, and backup provided by managers.
- Prepare list of monthly invoices requiring tax payments
*Cash Handling, inventory audit and compliance.
- Perform other duties as assigned by manager.

QUALIFICATIONS:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
Education/Experience: High School diploma or equivalent required, associates or bachelor’s degree considered a plus, and accounting experience or prior hotel/hospitality experience highly preferred.
Knowledge, Skills and Abilities:
- Ability to effectively deal with internal and external customers and staff.
- Strong organizational skills and ability to meet deadlines.
- Basic mathematical skills and considerable skill in the use of Excel to prepare moderately complex mathematical calculations without error.
Computer Skills:
- Proficiency with the Microsoft Office Suite including PowerPoint, Excel, Word, and Outlook applications.

The incumbent must be able to frequently move freely about the hotel, using stairs as needed, and maintain proficiency for operating various types of office equipment, such as telephones, copiers, fax machine, computer systems/keyboards. Normal routine involves no exposure to blood, body fluid or tissue, but exposure or potential for exposure may occur.
