Our thriving financial practice has an immediate opening for an Associate Financial Representative. The main focus of this role is to execute the business operations of the Financial Advisor’s practice in order to enhance productivity. The Associate Financial Representative specializes in maintaining an efficient and organized office that allows the Financial Advisor to focus energy into building client relationships. This associate will be a vital member of the team and will play a major role in accomplishing the goals of the practice.
Essential Functions
- Execute the business operations of the Financial Advisor’s practice in order to enhance productivity in the office.
- Provide service and support to the Financial Advisor’s clients.
Position Responsibilities
Specific responsibilities include but will not be limited to:
Insurance & Investment Support:
- Gather and prepare all applications, paperwork, presentation materials and documents as needed for client meetings.
- Review all completed client applications for completeness and accuracy. Follow-up with clients as needed to collect missing information and signatures prior to submission.
- Schedule client medical exams and other insurance exams and prepare clients accordingly.
- Submit completed documentation to the appropriate departments for processing.
- Liaison between client and appropriate departments to expedite the underwriting review process for insurance products.
- Verify policy and account information to confirm accuracy, and schedule client policy delivery.
- Assist team members on executing investment actions where and when applicable and compliant.
Administrative Duties:
- Prepare for and participate in weekly team meetings.
- Track the status of submitted business by proactively learning next steps and gathering required documents.
- Respond to communications from clients via telephone, email and mail. Document appropriate information, answer basic questions when appropriate, and inform appropriate team members as needed to assist the client.
- Assist clients with service requests and account maintenance.
- Assist with scheduling appointments and managing the Wealth Management Advisor’s calendar.
- Create and maintain permanent and electronic records / files for client relationships and to follow compliance regulations.
- Assist in maintaining inventory of necessary office supplies.
- Work toward earning the appropriate industry licensing (details below).
- Other administrative duties as assigned by the Financial Advisor.
Hours & Location
This position is located in Ellicott City, MD. Normal business hours are 8am-5pm, Monday-Friday.
Compensation & Benefits
Compensation for this position will be determined based on relevant work experience and/or licensing. This position is eligible for health and other employee benefits.
Qualifications:
Candidates for the Operations Assistant role must have the following credentials:
- 2-year or 4-year College degree preferred; or 2-4 years of relevant work experience. Recent graduates and candidates with equivalent experience will also be considered.
- Excellent communication skills, both written and oral, with the ability to communicate with clients and corporate contacts in a polite and professional manner
- Strong organizational skills
- Ability to work both autonomously and collaboratively
- Proficient in MS Outlook, Word, and Excel
- Strong computer, data entry, and keyboarding skills
- Ability to prioritize and work in a fast-paced environment
- Ability to maintain a high degree of client confidentiality
- Obtain Maryland Life and Health Insurance license; or ability to obtain within 6 months of employment

Pay: $45,000.00 - $60,000.00 per year
