THE POSITION
The Payroll/HR Coordinator is expected to manage dual responsibility of all bi-weekly payroll activities and ensure the timely and accurate payment of employee wages. Coordinate, oversee, and participates in Dow Rummel’s payroll function including ensuring compliance with state and federal laws, regulations, Department of Health policies; maintenance and support of all payroll systems; as well as assist Executive Director of Human Resources in recruiting, personnel requests, and questions, assisting with orientation and benefits and HR paperwork, filing and recording keeping.
To be successful as a payroll coordinator you should have strong communication and data entry skills and the ability to work with minimal supervision and prioritize responsibilities.
THE HOURS: Monday – Friday 8am to 5pm.
THE QUALIFICATIONS
- Must have 3 years’ experience in payroll administration.
- Human Resources/Personnel experience preferred, not required
- Excellent organizational skills and attention to detail and time management skills with a proven ability to meet deadlines
- Ability to function well in a high-paced environment that at times has frequent interruptions
- Ability to provide 2 professional references
- Good working knowledge of payroll practices and tax laws.
- Proficiency in Microsoft Office, payroll systems and database software.
- Must have good basic interpersonal skills –oral and written communication skills, positive, patient attitude and willingness to work as a member of a team to accomplish assigned tasks.
- Must demonstrate ability to be energetic, enthusiastic, and creative in working with staff.
- Excellent communication skills, both verbal and written.
- Organizational and time management skills.
- Ability to maintain strict confidentiality.
- Strong attention to detail.
- Must have ability to: interact well with residents and staff; work as part of a team.
- Must have ability to understand and follow task orientation and instructions, rules and procedures as outlined in orientation and training.
THE RESPONSIBILITIES
- Model the values, mission and vision of the organization;
- Review and process semi-monthly payroll for approximately 300 employees using PeopleSoft
- Calculate pay for new hires and terminations
- Prepare manual checks and process garnishment, child support and tax levy orders
- Comply with all federal, state and local regulatory requirements for the payment of compensation and related taxes
- Reconcile benefit statements
- Files documents into employee files
- Work closely with Human Resources to maintain compliance with company policy
- Be alert and active in supporting facility's commitment to safe practices, infection control, and respect for residents' rights;
- Works closely with Human Resources and Accounting on all payroll related issues.
- Ensure semi-monthly payrolls are processed in a timely and accurate manner.
- Check non-exempt personnel time sheets utilizing an electronic time and attendance software product for compliance with policy, state and regulatory requirements.
- Reviews computed wages and corrects errors to ensure the accuracy of earnings. Ensure that all changes to payroll are processed correctly.
- Taxable fringe benefits administration i.e., group term life insurance, monthly parking, and HSA reporting.
- Maintain accurate payroll records and employee files, including manual check log and reconciliation of payroll account
- Perform other job-related duties as assigned
PHYSICAL REQUIREMENTS
- Must be able to lift 15 pounds at times
- Must be able to sit at a desk for prolonged periods of time working on a computer
