Job Description:
PURPOSE OF JOB: Responsible for answering calls that come through the call center, answering all concerns and questions, routing the calls appropriately to the right person, department or voicemail box, and scheduling all appointment requests for office visits.
ESSENTIAL FUNCTIONS:
1. Answer telephone calls
2. Schedule patients for office visits
3. Data entry into ECW billing (EPM) system and electronic medical record
4. Submit tasks through the electronic medical record
5. Other duties as required
III. JOB CRITERIA AND PERFORMANCE STANDARDS:
Answer telephone calls
Answer promptly in a courteous and professional manner
Transfer call to appropriate department
Take and relay messages in a timely manner.
Submit tasks appropriately into the electronic medical record
Schedule Patients
Schedule patients following appointment scheduling criteria
1) Allow appropriate time intervals between patients
2) Direct new patients to arrive 15 minutes early to complete applicable paperwork
Direct patients to obtain studies to bring to the appointment
Act as a resource to the patients to obtain the studies by providing them with appropriate names of studies, and names of departments and phone numbers where they can be obtained
d. If applicable, direct patients to secure referrals from their insurance carrier prior to office visit
Data entry into ECW billing (EPM) system and electronic medical record
Enters patient demographic information into the eCW EPM in order to complete the information necessary for complete and accurate scheduling and billing
Enters required information into eCW for quality, incentive and other measurement initiatives required of the practice
Enters certain clinical information into the eCW EMR as required for complete and accurate medical records
Submit tasks and prescription refills through the electronic medical record
Utilize the electronic medical record to send tasks and messages based on the phone request to other departments, individuals, physicians, etc.
5. Other duties as required
Occasionally obtain precerts for any testing ordered by physicians
Fax reports as requested
Copy medical records as requested for outside facilities
Job Qualifications:
V. QUALIFICATIONS:
Education: High School Diploma or equivalent
Experience: Medical office experience desired
Other Skills: Basic computer knowledge, excellent communication, organization and interpersonal skills, scheduling flexibility
