What are the responsibilities and job description for the Events Coordinator (Bilingual in Spanish) position at Dracko Merchandising, Inc.?
The Events Coordinator is responsible for the onsite execution of all experiential events in assigned territory. Interacts with her/his team, clients, venue staff and supporting internal departments involved in the event. The Events Coordinator takes the lead on all the traditional and non-traditional events, including planning, staffing, executing, and managing administrative post-event tasks
1. Secure and oversee the daily manpower for demos and special events. Facilitate last-minute staff and equipment requests, especially for urgent or last-minute requests. It may require contacting extra personnel, find outside contractors, etc.
2. Interview, hire, evaluate and discipline demonstrators and special event staff.
3. Responsible to secure proper training for all staff on the assigned market program, promotion, and branding initiative by:
- Providing training about clients’ execution guidelines.
- Providing goals and deliverables of each program
4. Provide supervision for demos and special event staff.
5. Ensure needed supply for each program is stocked and equipment is running properly.
6. Monitor performance, as indicated by supervisor.
7. Replenish supplies and inventory for each ongoing and thematic program.
8. Prepare weekly reports:
- RECAPS
- Master
- Coordination
9. Keep track of the bills and invoices
10. Responsible to communicate effectively with Dracko’s internal and external sources by:
11. Confirming and acknowledging internal and external requests, having the opportunity to address the following items:
a) Objective
b) Reach
c) Budget
d) Timing, as well as any other relevant aspect considered by the Supervisor and upper management.
