Document Control Specialist

The Document Control Specialist provides a wide range of services to the H2 Capital team. Importantly, act as a critical support for the Capital Projects team through development of a Document Management System and Procedure for control of key project and engineering standard documentation. This includes managing project folders, Share Point sites, P&IDs, PFDs, Engineering Standards & Specifications, other project drawings and miscellaneous documents. Also be expected to develop programs to manage and control vendor information such as contact information, warranties and manuals and may be required as part of a Turnover Package to H1 (Current Facilities) personnel as part of the Commissioning Plan.
Dimensions:
- Will work with primarily in the H2 team but will liaise with H1 Operations and H3 Innovation as required.
- Works closely with the Sr. Project Managers to understand project specific needs and develops programs to enable more efficient project execution.
- External interactions with engineering companies, contractors, and partners as needed
Key Accountabilities:
The Document Control Specialist will be responsible for supporting the H2 team in the following way:
- Managing project folder, SharePoint sites and project documentation by development and rollout of Policies and Procedures that should be used consistently across all projects and the Engineering Services team.
- Coordination of documents with all project team members, engineering partners, contractors, vendors, stakeholders and reviewers. This includes but is not limited to:
- Engineering drawings, contracts, correspondence, RAID Log, Project Execution Plan, meeting notes, vendor supplied documentation, vendor drawings, equipment drawings, change management documentation, commissioning plans and results, and QA/QC documentation.
- Final Project Documentation Package that will be turned over to H1 as part of the Commissioning Plan.
- Ensure that all project documents are updated appropriately, and the latest copies are available to the project team in a media that is easily accessible.
- Create and revise reports and documents that are Industry Best Practice, ensure understanding across the H2 organization, and provide follow-up to ensure that the original plan adds value.
- Will work on multiple projects at one time.
- Ensure compliance with Drax wide project control and documentation guidelines. Audit projects periodically to ensure compliance to the Policies and Procedures.
- Provide advice to staff and management on various aspects of records management, electronic documents management and data inventory management and decision-making support as it relates to various aspects of information/records management within Opus Energy.
- Ensure the appropriate usage of data classification requirements and retention schedule compliance within the business.
Knowledge, Skills and Experience required:
- Candidate must possess excellent communication skills, both written and verbal; knowledge of specific Drax stage gate and production processes a plus;
- Computer skills including but not limited to Word and Excel. Knowledge and working knowledge of Primavera P6 and MS Project is a plus.
- Experience and working knowledge of SharePoint sites
- Experience in project and/or construction work required.
- Ability to adapt to working within a team with minimal supervision; organizational skills required.
- An organized and structured approach to work, with the ability to work on your own initiative and as part of a team.
- Able to demonstrate a pragmatic and risk-based approach.
Special Features:
- Ability to work across the H2 Capital team and Operations team.
- Ability to travel up to 25% of the time as well as extended time to project sites as required (2 – 3 weeks)
- Work with the H2 project teams to implement document control systems across the Horizon 2 group.
- Communicate with the H2 UK team to coordinate implementation and common systems across the group
Measures of Success:
- Documentation Policies and Procedures are developed, rolled out to the organization and well understood by all stakeholders. This will be measured by periodic audit findings performed by applicant.
- The individual will provide accurate record keeping for the project team as well as holding engineering partners, vendors and contractors accountable to deliver the required documentation per the contract as requested by the Project team.
- Effective transmittal of an accurate project turnover package to the H1 plant operations team at the end of the project.
- All project documentation exists on a shared Drax platform that is accessible by all Drax employees.
