Position Summary:
The Group Events Coordinator is responsible for organizing details for large group sales and events and implementing outings/events to maximize guest experience. This professional is instrumental in ensuring that guests receive outstanding individualized customer service. Additional responsibilities include assisting in generating new business and maintaining relationships with current clients as well as generating additional revenues through up-selling of facility products, services, and amenities.
Primary Duties and Responsibilities:
• Manage requests for large group reservations and group events throughout all resort seasons.
• Document groups’ requests and organize required booking documents accurately.
• Maintain assigned leads, keeping all steps of the booking and contract processes up to date.
• Arrange all reservation details into written proposals, keeping attuned that all details are documented precisely and accurately.
• Obtain signed contracts and deposits in a timely manner.
• Systemize an organizational method to ensure all details for group reservations and events and tournaments are obtained and compiled in a timely manner. These details may include but are not limited to: room reservations, tee times, caddie requests, restaurant/dining accommodations, and more.
• Outline all large group reservations, events, and tournaments details in a clear and concise written format to be sent across all departments to maximize cohesion amongst the team.
• Maintain positive relationships and communicate clearly, tactfully, and persuasively with all appropriate colleagues to ensure staff members, especially customer contact personnel, are accurately informed of all pertinent details of outings/events to maximize customer satisfaction.
• Conduct orientations and tours as needed for guests. Interact with guests in a congenial and professional manner to provide information regarding facility, products, services, amenities, activities, policies, etc.
• Respond to customer inquiries and/or complaints in accordance with operating policies and procedures.
• Learn and retain general knowledge of other departmental operations, including Golf/Caddies/Retail, Food & Beverage, Rooms/Hotel, and others, to generate additional revenue through up-selling prior to and/or during outings/events. Assist guests with special requests.
• Monitor guest activities and customer satisfaction during group stay.
• Audit folio statements throughout outing/event for billing accuracy, and ensure timely final payment of Master folio invoices.
• Inspect finished arrangements with a critical eye. Manage work schedule to allow time to be present during outings/events, determining the best time(s) to greet the group/group commissioner during the stay, depending on the complexity of the programming.
• Performs other duties as assigned.
Qualifications:
• High school diploma required. College degree preferred.
• Familiarity with Microsoft Office programs preferred: Word, Excel, and Outlook.
• Demonstrate professional written communication skills, keeping all written correspondence clear, concise, and free of spelling/grammatical errors. Mathematical skills are extremely beneficial.
• Demonstrate professional verbal communication skills, effectively communicating and collaborating with guests and colleagues alike.
• Keep an extremely organized and detail-oriented workflow with attention to time management.
• Exhibit critical thinking skills, including the ability to anticipate guest needs, analyze special requests, and solve problems; exhibit adaptability and teamwork; efficiently handle multiple duties under pressure with minimal supervision; work flexible hours as required including some nights/weekends.
• Uphold a positive attitude, emotional intelligence, and a professional manner and appearance in all situations.
