The role of the Legal Operations Specialist within our lean legal department encompasses a wide range of responsibilities focused on maintaining efficient legal operations for the global organization and providing support for administrative matters. This specialist plays a pivotal role in tracking law firm billing, ensuring accurate record retention, project management, and optimizing legal department resources. Additionally, the role provides key assistance to two vice presidents, aiding in the coordination of their schedules, communications, projects, billing, travel, and essential departmental tasks. This position requires a skilled individual who can adeptly handle standard legal operations while efficiently fulfilling administrative responsibilities. It's a role that demands a keen eye for detail, strong organizational skills, and a hunger for new and ever-changing work in a dynamic, global legal environment.

Responsibilities:
  • Manage operational processes to maintain and support legal systems and technology, including workflow automation, contract management, e-billing/matter management, and document management.
  • Support effective working relationships with domestic and international outside legal counsel including onboarding and supporting ongoing new firm Legal Tracker setup, tracking, and invoicing for approximately 40 firms. Manage timekeeper review and approval.
  • Support department-wide financial and budgetary processes, including managing accruals, tracking spend against budget, reporting, and e-billing and legal matter management platform, including platform efficiencies and optimizations.
  • Provide project and administrative support to two vice presidents aiding in the coordination of their schedules, communications, billing, travel, and essential administrative tasks.
  • Oversee and help streamline document management and contract workflow processes including intake, drafting, organizing, tracking, coordinating contract and transaction work, contract execution, document storage, and template/playbook management. 
  • Managing projects for the legal team and implementing new tools, processes, and workflows to improve efficiency and effectiveness in legal operations; includes assisting in developing relevant project and process documentation and self-help tools as needed: dashboards, toolkits, legal training, Q&A, process flows, websites, online tools, etc.
  • Manage agenda and presentation development for project-related team meetings and cross-functional projects as identified.
  • Plan and coordinate legal department calendar and events. 
  • Manage and fulfill signature/notary requests to internal authorized signatories. 
  • Collaborate with other members of Legal Affairs on cross-functional initiatives. 
  • Ensure the security of Driscoll’s confidential and proprietary information. 
  • Represents Driscoll’s in an ethical and business-like manner in all interactions with growers, suppliers, customers, and the business community at large. 
  • Domestic and international travel required up to 5%.
  • Other duties as assigned.  

Requirements:
  • Bachelor’s desired, however we are very interested in experienced legal operations professionals or those with equivalent experience. 
  • 4 years’ work experience managing legal operations processes and high-level administrative support. 
  • Outside counsel e-billing/matter management. 
  • Project management and playbook creation.  
  • Invoice Management. 
  • Event planning and organizing. 
  • Ability to eagerly take on a broad assortment of legal operations projects and processes and innovate.
  • Legal Tracker or equivalent eBilling experience. 
  • Tech savvy and strong experience with Microsoft Office products.  
  • Registered California Notary (or ability to obtain).  

Preferred (other) Qualifications:
  • High level of personal interaction (in person, phone, video conferencing) across the business required. 
  • Excellent interpersonal and negotiation skills; ability to develop close working relationships and to work, collaborate, and finalize projects effectively across diverse groups, teams, and cultures, and adapt to competing priorities in a fast-paced environment. 
  • Prior legal operations experience in a firm or corporate legal or similar environment a plus. 
  • Strong organizational and administrative skills, with a solid understanding of the legal processes and documents. ·       Ability to work independently, and also be a strong team player. 
  • Experience curating a company-wide contract management system a plus.
  • Tableau a plus.
  • Experience with process improvement design and implementation a plus. 
  • Spanish is a plus, but not required.
  • Experience working in the agriculture industry and/or in a global organization.
  • California driver’s license and a valid passport with the ability to travel internationally without restrictions.   

Compensation & Benefits:
The following information is provided in good faith as a general description of the salary range and benefits for the position posted.  The actual compensation offered to the successful candidate is dependent upon experience, skills, education, work location, internal pay equity, and other objective job-related factors. 

Salary Range estimated for Legal Operations Specialist: $63,500.00 to $89,000.00 USD.
