Summary (Major Purpose of the Role): *Provide administrative support for purchasing department.
*
Main Activities/Responsibilities: (Duties may vary between Purchasing Assistants)*
- Procurement of assigned items
- Issue Purchase orders for packing/shipping materials, nonstock items, office supplies, and commodities
- Process purchase orders for building-wide purchase requests; assist with receipt issues
- Maintain water cooler contract
- Purchasing department support/administration
- Produce and distribute daily on hand reports for vendors that ship to target or min/max inventory levels
- Submit purchase orders for all buyers to vendors via fax/email and produce weekly summary report of all purchase orders
- Expediting and delinquent purchase order follow up
- Trouble shoot accounts payable and receiving issues
- Maintain all purchasing files – purchase orders, certificates of compliance, and packing slips
- Maintain supplier quality files – supplier self-assessments, non-disclosure agreements, ISO certifications, etc.
- Special projects as required for procurement and supplier quality
- Manage and reconcile purchasing credit card
- Handle petty cash, balance monthly
- Identify and greet guests
- Answer incoming/overflow calls
- Sort and distribute mail building-wide
- Sort incoming faxes
- Schedule conference rooms
- Organize large meetings/meals
- Stock main conference room with drinks and supplies

- Strong administrative/organizational skills

Reporting Relationships and Supervision: *
- This position works under the direct supervision. Areas of responsibility are reviewed frequently, as needed.

Education and Experience: *
- Minimum high school or GED; 2 year business-related degree preferred.
- Minimum one year of office experience; experience in a purchasing department preferred.
