Job Title: Shipping Supervisor
JOB SUMMARY STATEMENT: The Shipping Supervisor position performs the physical and/or administrative tasks involved in the shipping, receiving, storing, and distributing of materials, supplies and equipment. May perform a variety of coordinating, routing, and material handling duties. Unpacks and checks goods received against purchase orders or invoices, maintains records of received goods and rejects unsatisfactory items. Prepares and maintains records of product shipped.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
· Assemble and fill boxes with items for shipment. Ensure that product is protected during transit with appropriate wrapping, paper, popcorn, etc.
· Contact carriers and schedule shipping instructions for each package. Ensure customers’ preferred shipping system is used. (etc. UPS, FedEx)
· Support interdepartmental communication relating to several groups such as Inventory Control, and Customer Service.
· Track and maintain required packaging supply levels.
· Responsible for maintaining courier rates and organizing pickup and delivery to customers. Also negotiate freight rates and source alternative options.
· Maintain cleanliness of Shipping/Receiving area as well as working on ways to improve our current layout with added efficiencies.
· Work with Manager to ensure maintenance upkeep of forklifts, trucks, and other Shipping/Receiving department equipment.
· Ensure physical inventory is accurate and counts are completed as required and adjust any discrepancies.
· Responsible for overseeing a shipper/receiver and packaging support personnel as needed.
Essential Functions
· Supervise personnel and driver routes to ensure on time completion of ship dates.
· Assist in the effort to meet and or exceed scheduled expectations of shipments.
· Effectively delegate the duties of shipping personnel to support the effort to bring 100% satisfaction to DS Graphics clients.
· Based on cost center scheduling, supervise the distribution of work to the appropriate employees and or cost center and explain any and all special procedures or conditions.
· Attend manufacturing schedule updates and Client Service production meetings
· Update job status in schedule systems.
· Develop and maintain an environment of cooperation with supervisors of other departments, use and offer labor pools, from and to other departments as challenges arise
· Possess a working knowledge of the Ma DOT regulations and stay abreast of and assist in the implementation of changes as necessary to stay in compliance.
· Assure that equipment is cleaned, and maintained at top efficiency to include monthly preventive maintenance schedules and actions.
· Maintain the inventory levels of consumable auto parts and shipping consumables.
· Monitor area and identify potential safety risks, report to manager and or correct
· Report any and all activities or findings that may have an impact negative or positive to job cost, operations and or morale.
· Maintain overall supervision of 1st shift, and transition of schedule to second shift.
· Maintain open and positive communication with other shifts at time of transition to maintain positive work flow.
· Review and update work schedule on a daily basis, systematically close jobs with in 24hrs. to the EFI Job Closure procedure and shop floor entries per ship line
· Responsible for the disposition of job Overs with Customer service
· Responsible for effective management of department labor hours, temp usage, and overtime and hours approvals.
· In a positive manner motivate employees to perform the duties of their job to the highest level of efficiency possible.
· Where warranted take disciplinary action; if problem is ongoing discuss disciplinary options with management and Human Resources.
· Follow and enforce all required safety, and company policies and procedures.
· Supervise the day to day adherence to all ISO procedures by all personnel.
· Be 100% committed and involved in the day to day training of personnel where the goal is to create a team of independent operators and support teams..
· Communicate management policy to employees; communicate employee’s wants and needs to management.
· Train employees in the skills required to independently perform advanced job procedures.
· Train qualified employees on the methodology to train others to be 100% competent in their duties allowing for seamless replacement for the times in which they themselves cannot perform the tasks needed.
· Recommends hiring or termination of employees in the department to your manager and HR.
· Assist in the evaluation of employee’s performance in the department.
· Responsible for enforcing department materials are clearly labeled and organized.
EDUCATION, SKILLS, QUALIFICATIONS AND EXPERIENCE REQUIRED:
1. High school education required.
2. Ability to supervise and interact effectively with others.
3. Some lifting required. – up to 50 pounds.
4. Well organized.
5. Excellent interpersonal skills and ability to work in a true team environment.
6. Forklift certified preferred.
7. General knowledge of commercial shipping methods.
8. Experience and knowledge of mailing procedures.
9. Experience with Microsoft tools (Outlook, Excel, and Word)
10. Flexible & open minded with an excellent attention to detail.
WORKING CONDITIONS: Warehouse environment, standing most of shift.
