What are the responsibilities and job description for the Secretary position at DS Legend Home Builders?
Responsibilities:
- Provide administrative support to the office staff and management team
- Manage and maintain schedules, appointments, and travel arrangements
- Answer phone calls, take messages, and direct inquiries to the appropriate person
- Greet visitors and clients in a professional and friendly manner
- Prepare and edit correspondence, reports, and other documents
- Assist with proofreading and editing materials for accuracy and clarity
- Coordinate projects and ensure deadlines are met
- Transcribe meeting minutes and other important documents
- Maintain office files, both physical and digital, ensuring organization and confidentiality
- Assist with basic bookkeeping tasks using QuickBooks or similar software
- Perform general clerical duties such as photocopying, scanning, and faxing
Qualifications:
- Proven experience as a secretary or administrative assistant
- Knowledge of office management systems and procedures
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multitask and prioritize work effectively
- Attention to detail and problem-solving abilities
- Ability to maintain confidentiality of sensitive information
- Experience in a construction office receptionist is a plus
