We are seeking an Provider Support Assistant with DUKE SOUTH BAKER HOUSE to perform administrative responsibilities of a complex and confidential nature in support of major departmental activities to maintain efficiency in organizational operations. This position is REMOTE at this time.

JOB DUTIES
Your major responsibilities will include but are not limited to:- Assist/manage the Division’s clinical on-boarding process
- Assist faculty and staff with expense reimbursement entry
- Enter POs via Buy @ Duke
- Liaison with DHTS to maintain desktop and laptop PC optimization
- Coordinate all vender services; i.e. Water, Shred-It, Net Friends, etc.
- Assist with space management
- Coordinate resident’s schedules regarding faculty shadowing
- Maintain the Division’s academic calendar
- Coordinate the CME process and Endo Grand Rounds
- Assist with the electronic communication of Endo Grand Rounds and Case Conference
- Support the Division’s Leadership Team (5 FTEs) as Follows:
- Manage calendars
- Compose letters as requested
- Prioritize telephone messages, paper correspondences and other communications for response.
- Assist all leadership faculty in other administrative functions as directed; compiling PowerPoint presentations, presentation/lecture set-up, data gathering, etc.
- Schedule and coordinate meeting/teleconferences. Identify conflicts and resolve them
- Send invites, reminders and agenda
- Order food for meetings as required
- Respond to requests from pharmaceutical representatives
- Put out-of-town meetings on calendar
- Put clinic/consults/call/inpatient weeks on calendar
- Coordinate travel for meetings including submission of registration, airfare, hotel reservations, rental car (if needed) and process reimbursement for out-of-pocket expenses
- Support the Division and the Division Chief as Follows:
- Single Point of Contact (SPOC) for the Endocrine Division
- Triage all incoming calls and direct appropriately
- With the Chief and Business Manager, maintain updated web presence and other communications
- Maintain and Sync all divisional calendars; Fellows, DMS, Clinic, time away, etc.
- Serve as back up to other administrative staff in times of absence or peak activity
- Order and maintain a sufficient supply of office supplies and equipment for the division
- Order business cards and prescription pads for faculty and Advanced Practice Providers (APPs)
- Plan coordinate academic and social gatherings as assigned
- Coordinate recruiting visits
- Maintain group mailing lists
- Manage Chief’s calendar
- Coordinate annual performance/mentoring meetings between the chief and faculty/staff
- Coordinate staff meetings with key division leaders
- Plan and schedule conference calls
- Make conference/speaking arrangements
- Arrange travel plans
- Prepare letters and correspondence
- Receive, route for signature and return all paperwork pertaining to evaluations, reappointments, promotions, licensure, etc.
- Prioritize telephone messages, paper correspondences and other communications for response
- All other tasks as assigned
REQUIRED QUALIFICATIONS
- High school diploma or equivalent education required.
- One-year experience of clerical or general office support required.
