Job Overview
Duke University seeks applicants with an interest in medicine and science, strong editing skills, and exceptional attention to detail to serve as an Editorial Associate for the American Journal of Transplantation. The American Journal of Transplantation is the official journal for the American Society of Transplantation and the American Society of Transplant Surgeons, and its editorial office is located at Duke University.
The Editorial Associate has primary responsibility of managing the peer review process of the journal, and work on projects directed toward enhancing the operations of the journal particularly as they relate to improving the efficiency of publication. This position also resolves queries regarding editorial and publishing policies for internal and external stakeholders.

Essential Functions
Daily/Weekly Tasks:
- Monitor journal inbox for incoming queries and correspond daily with editors, authors, and reviewers to ensure timely completion of tasks to maintain low journal turnaround times. Provide information and guidance to Editor-in-Chief as needed.
- Track the progress of manuscripts through the editorial process and send personal reminders to reviewers and editors, as needed.
- Develop and maintain manuscript status report and alert any issues/delays to the Managing Editor and Editor-in-Chief.
- Provides editors with technical support regarding the online manuscript submission system.
- Trains new editors on use and navigation of the online manuscript submission system and AJT best practices.
- Acts as liaison between authors and the editors for matters including, but not limited to, manuscript status, needs for publication, and potential publication integrity issues.
- Collaborates with colleagues and Managing Editor to develop and improve departmental/journal policies and procedures.
- Provides back-up support to Publication Specialist with regard to manuscript processing, as needed.
- Participates in pilot projects and program improvements, as needed.
- Participates in Editorial Board meetings.

Monthly Tasks
- Support Managing editor with monthly issue publication through coordinating various bespoke articles and reviewing issue proof for accuracy and consistency.
- Applies expertise in Editorial Manager to provide ad hoc and regular reporting to Managing Editor.
- Coordinate cover art between artist and Editor-in-Chief; send final product to the publisher.
Annual Tasks
- Assist Managing Editor with conference related tasks which may include preparing reports and presentations, coordinating AJT awards process, arranging editorial board meeting, and reaching out to editors for annual editorial board turnover.
- Should be willing to travel especially for annual ATC conference. Conference travel expenses will be paid by the journal.

- Knowledge of AMA Manual of Style
- Knowledge of journals publishing trends and best practices.

- Copyediting and proofreading

Minimum Qualifications
Education
Work requires communications, analytical and organizational skills generally acquired through completion of a bachelor's degree program.
Experience
Work generally requires one year of editorial or production experience OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE in a publishing or related setting to acquire skills necessary to coordinate a variety of tasks such as evaluating and rewriting technical or scientific journal manuscripts for accuracy, clarity, content, and completeness, monitoring production schedules, proofreading galleys and page proofs and checking layout and illustrations.
