Occupational Summary

Supervise and coordinate activities related to capital equipment acquisitions, depreciation and disposals for Duke University and Duke University Health System.

 

Work Performed

  • Supervise and coordinate the daily review of purchase orders for capital equipment. Oversee the review process, research issues, and determine what purchases qualify for capital using generally accepted accounting procedures. Determine estimated useful life of equipment and assign consistent and proper depreciation terms.
  • Direct and monitor the reconciliation of the SAP fixed asset sub-ledger to for every Duke University fund with capital equipment expenses by fund code and GL account. Research any discrepancies and make corrections as needed. Produce reconciliation after each accounting period (monthly, quarterly and year-end).
  • Monitor the equipment acquisitions for all DUHS company codes. Use databases (StrataJazz, Axiom) and other institutional resources to classify equipment acquisitions, assign useful lives, locations and other related data. Work with DUHS personnel including DUHS corporate finance office to resolve issues, answer questions and process transactions.
  • Coordinate the preparation of reports and analyses for all equipment Asset Under Construction projects (AUCs). Monitor spending on AUC accounts and follow up with principal investigators to resolve any issues. Coordinate with Plant Accounting Facilities Audit team for physical tagging and any other outstanding issues.
  • Run and post depreciation expense in SAP as needed for period end closing each month. Check results and research and report on any discrepancies or errors. Monitor all depreciation related accounts and correct any errors or omissions.
  • Plan and schedule work for the group, ensuring proper distribution of assignments and adequate manning; train new personnel. Plan and conduct meetings with subordinates to ensure compliance with established practices, implement new policies, and keep employees abreast of current changes and standards.
  • Direct various personnel functions including, but not limited to, hiring, performance appraisals, promotions, transfers and vacation schedules.
  • Perform other related duties incidental to the work described herein.

 

Required Qualifications at this Level

 

Education/Training

Work generally requires knowledge normally acquired through a bachelor's degree in Accounting, Business or a directly related field.

 

Experience

Work requires four years progressive experience in an accounting environment and/or financial services field OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE
