Occupational Summary

Bass Connections is a Duke University program that supports collaborative, interdisciplinary research. Involving all of Duke’s schools, the program engages students and faculty in the exploration of complex societal issues through year-long research teams, summer programs, courses, and student research grants. Projects and courses are categorized under one of six themes — Brain & Society; Energy & Environment; Global Health; Health Policy & Innovation; Information, Society & Culture; and Race & Society. Launched in 2013, the program now includes more than 60 year-long research projects per year, several affiliated summer research programs, and numerous affiliated courses. Annually, approximately 700 undergraduates, 200 graduate students, and 350 faculty and staff participate in the year-long project teams and summer research programs.

Major responsibilities of this new position include managing and reporting on program finances; supporting the student hiring needs of Bass Connections teams; advising on administrative policy questions; and managing and reporting on program participation data.

This position reports to the Assistant Vice Provost, Interdisciplinary Studies and Bass Connections, is part of the Office of the Vice Provost for Interdisciplinary Studies. Our office is a remote-first work environment.

Work Performed
 

Finance (approximately 50% effort)

• Oversee financial processing and analysis for the Bass Connections central office and six Bass Connections themes, encompassing about 100 active project codes at a given time
• Create a systematic process for tracking all active project codes including tracking project end dates and ensuring the timely closure of projects; no cost extension dates; and advances and variances
• Ensure that gift funds are deployed in accordance with the gift agreements and that there is clear documentation around the use of gift funds for reporting purposes
• Enter budget forecasts and variance reports (total budget managed is approximately $2 M a year)
• Produce quarterly budget reports for all active projects
• Reconcile financial codes
• Process financial transfers
• Process purchase card receipts and expense reimbursement for central office staff
• Provide occasional procurement support for central office needs or projects lacking support from their home unit
• Request new fund codes annually when a new batch of projects are funded
• Answer financial policy and processing questions from project teams
• Review and approve expenses
• Help student research awardees (~10 per year) process expenses if their faculty mentor’s unit is unable to assist

Human Resources (~25-30%)

• Advise Bass Connections team leaders and themes on common human resources policy questions including student hiring, hiring non-Duke students, and paying supplements
• Process student hires for project teams when their home unit is unable to assist
• Work with theme administrators and team leaders to ensure that students are placed on the payroll in a timely and correct manner and that timecards are processed on time
• Process occasional faculty supplements

Data Management and Analysis (~20-25%)

• Assist with the management of the database of participants and project teams, working with student assistants to manage the input of data and ensuring the general integrity of the data
• Use reports from our database and student application platform to run queries on student and faculty participation
• Help clean and maintain annual reporting data
