The Facilities Coordinator is responsible for coordinating, managing and overseeing all facilities activities to minimize the interruption of facility operations including facilities planning, coordination, analysis, project administration, property administration, and facilities maintenance.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Maintain and manage physical asset and storage site inventory.
  • Coordinate and monitor vendor’s performance through performing building related services.
  • Assist management to develop and evaluate plans for facilities executed by vendors.
  • Inspect entire building to identify general corrective maintenance as necessary for proper maintenance and operation of various equipment, fixtures, etc.
  • Report deficiencies and recommend areas for improvement to management.
  • Ensure to maintain and continue operation of mechanical systems like HVAC systems, fans, generators, etc.
  • Coordinate preventive maintenance and repair programs on all building mechanical infrastructures.
  • Update and maintain records to track maintenance and repairs.
  • Site contact, coordinator and tour guide for various visitors.
  • Acquires resources for projects and processes within the building or location, provides management of suppliers and leads process improvements.
  • Proven experience in leading large project initiatives, including responsibility for schedules, assignments, and coordination of schedules.
  • Develops and maintains relationships and partnerships with internal customers, peers, business partners, vendors, and contractors.
  • Project Manage all inter-office moves and/or minor office construction and renovation projects.
  • Manage all vendor contracts
  • Coordinate site safety programs
  • Maintain a safe work environment for all employees
  • Manage facilities planning and space allocation
  • Prepare cost estimates for moves and equipment
  • Assist in negotiating bids and contracts for third party workers
  • Assists in sustainability initiatives/projects within local facilities and maintain reporting of improvements.
  • Assist in annual reporting (Environmental, Tier II, EPA, etc.)
  • Direct and manage any facilities emergencies if any.
  • On-call for disaster/emergency issues
  • Occasional travel may be required 


QUALIFICATIONS:

EXPERIENCE: 

Minimum of 3-5 years of previous facilities maintenance experience

Specific Skills: Microsoft Word, Excel, PowerPoint, Microsoft Outlook
