The Dutchess Land Conservancy (DLC), Dutchess County, New York, is seeking a detail-oriented and self-motivated individual to join our Development team in Millbrook NY. Responsibilities include supporting our fundraising and program efforts including database management, gift processing, special events, grant tracking, and donor development while working as part of a cohesive team with other staff members under the direct supervision and direction of the Director of Development.
Essential Duties and Responsibilities:
- Support the solicitation and donor cultivation work of the DLC, including all associated mailings and donor research.
- Oversee and maintain the membership database; produce and analyze fundraising reports as needed.
- Process donations and other donor financial transactions promptly and accurately.
- Produce prompt and accurate gift acknowledgment letters and correspondence.
- Provide support for special mailings.
- Assist with the coordination of special events including all fundraising and friend-raising events, and silent auctions.
- Assist with our sponsorship program, including mailings, tracking of associated benefits, and quarterly ads.
- Help implement the production and distribution of all development-related communications materials such as invitations, programs, campaign fundraising materials, general and gift membership forms, planned giving, and sponsorship materials.
- Work with staff on grant requests and final report submittals as needed.
- Prepare materials for and attend quarterly committee meetings, including taking meeting minutes.
- Maintain capital campaign records and activities as needed.
- Help provide financial, fundraising, and membership information for newsletters and annual reports.
- Assume other responsibilities and work on other office-related projects as needed.
- Assist with office-related duties as required, including answering phone calls, welcoming visitors, etc.
- Present a professional and welcoming demeanor to visitors, board members, supporters, and all who engage with the DLC.
Qualifications:
- A minimum of two years’ work experience in a professional office environment.
- Ability to thrive in a fast-paced environment and to juggle multiple projects while maintaining meticulous attention to detail.
- Ability to interact professionally and effectively with donors, volunteers, board members, staff, and all who engage with the DLC.
- Excellent written and verbal communication skills, consistently showcasing professionalism and sound judgment.
- Demonstrated commitment to follow instructions, work independently, and receive direction effectively.
- Willingness to maintain a flexible schedule, including the availability to work beyond the 9 to 5 standard business hours as needed as well as occasional weekends.
- Strong organizational skills and proficiency in Microsoft Office Suite.
- Ability to lift up to 50 pounds and to be on your feet for an extended period of time.
Highly desirable attributes:
- Associate’s or Bachelor’s degree, or office/development training from a technical/trade school.
- Notary Public (or willingness to become one).
- Knowledge of fundraising and/or database management (eTapestry or other Customer Relationship Management system).
- Experience in event planning.
- Knowledge of mail merge, Publisher, Photoshop.
Salary commensurate with experience.
