We are seeking a highly organized and proactive individual to join our team as an Executive Assistant and Office Administrator. In this role, you will be responsible for providing comprehensive administrative support to our C-level executives, managing day-to-day office operations, and fulfilling various errands that require a valid driver's license.
Duties and responsibilities:
Executive Support:
- Manage the executives’ calendar, appointments, and travel arrangements.
- Prepare and organize documents, presentations, and reports.
- Handle sensitive and confidential information with discretion
Office Administration:
- Maintain a well-organized and efficient office environment.
- Procure and manage office supplies and equipment.
- Write and distribute email, correspondence memos, letters, faxes and forms
- Plan and participate in meetings, take minutes, and assist with follow-up as needed.
- Handles sensitive matters and information with a high level of confidentiality and discretion especially decisions directly impacting the operations of the company.
- Assist with reviewing applicants for positions. Scheduling interviews, and participating in interviews by recording notes.
- Manage clock in/out times, and paid time off or sick time taken during that pay cycle.
Driving Errands:
- Run 3-5 driving errands a week around the westside of Los Angeles.
What You Need/Qualifications
- 3 years of experience in an Administrative position in a professional yet entrepreneurial and fast-paced environment.
- Proficiency in Microsoft Office product suite (Outlook, Word, PowerPoint, Excel), the Apple/Mac platform and internet navigation.
- Able to create and edit spreadsheets.
- Demonstrates ability to prioritize and manage time. Must be able to multitask.
- Excellent communication skills; attentive listener; excellent written and verbal skills.
- Strong analytical and problem solving skills; able to effectively prioritize projects and manage expectations. Enjoys working in an executive team environment, including ability to maintain confidential information.
- MUST live in the greater Los Angeles area and have a clean background
- Valid CA driving license and reliable transportation.
- Ability to work effectively both independently and as part of a team
- We require typing 45 words a minute.
Location:
- Office in Culver City (Monday to Friday)
