Summary
With supervision executes the scheduling of union employees for operations departments.. Responsible for ensuring qualified employees are appropriately assigned so that the business can successfully operate. Executes workforce scheduling for one or more operational site. Responsible for managing calloffs and ensuring vacancies are filled timely in order to meet business needs. Tracks and generates reports related to employee job assignment and employee attendance. Is responsible for timekeeping for their assigned work group
Essential Functions
This job description reflects management’s assignment of essential functions; it does not prescribe or restrict the tasks that may be assigned.

  • Responsible for managing union employee call-offs and backfilling vacancies to ensure the operational needs are met with minimal disruption.
  • Responsible for making decisions regarding daily lay-offs(LWL), and/or scheduling overtime in accordance with the collective bargaining agreement to ensure operational continuity.
  • Identifies, creates and communicates work schedules to union employees. Posts and distributes manning schedule to designated areas.
  • Completes shift crewing report; calculates shift totals.
  • Enters information and runs reports out of Schedule Pro scheduling software.
  • Approves and tracks vacation and time off requests for the union work force.
  • Provides support and performs payroll activities for union hourly employees in accordance with the Collective Bargaining Agreement (CBA). Ensures accurate and timely data entry and updates in ADP to facilitate payroll processing by payroll.
  • Prepares, enters, and validates all payroll data in ADP which includes employee timecards, time adjustments for shifts worked, vacation time, sick time, historical edits, pay codes and pay rates based on shift assignments.
  • Assists with employee timecard corrections and tracks performance / behavior against timekeeping rules.
  • Assists with coding labor transfers and cost center changes.
  • Responsible for processing employee data updates for adding new and updating existing employee information into ADP timekeeping system. (Job Codes, Cost Center, Description, standard shift, etc.).
  • Partners cross-functionally to validate and update leave of absence statuses in ADP.
  • Responds to employees regarding payroll related issues and inquiries. Identifies root cause, reports and resolves employee paycheck errors.
  • Responsible for ensuring pay and deduction compliance in accordance with the CBA and Company policies.
  • Maintains various control documents to ensure accurate payroll processing (EDD forms, Weekly Sickness and Accident Benefits per the CBA, jury duty forms, etc.).
  • Responds to employee, Manager, and HR inquiries regarding payroll related issues in a timely manner, adhering to department expectations for written and verbal communication.
  • Requests manual or off-cycle checks as needed for terminations, payroll adjustments and special pay. Provides winery payroll with hours worked and pay rates needed for correction and off cycle checks.
  • Tracks meal premium hours to be paid in ADP, approved or unapproved.
  • Processes employee timecard corrections and tracks performance / behavior against timekeeping rules.
  • Manages payment of service calls in ADP when an employee is called to work an off shift as required under the CBA.
  • Facilitates timekeeping & scheduling training for new team members.
  • Maintains thorough knowledge of the CBA and collaborates proactively with human resources and labor relations when necessary.

Qualifications

Minimum Qualifications

  • Associate degree plus 1 years of human resources, payroll, manning/scheduling or clerical operations experience reflecting increasing levels of responsibility; OR High school diploma or State-issued equivalency certificate plus 3 years of human resources, payroll, manning/scheduling or operations clerical experience reflecting increasing levels of responsibility.
  • Experience handling sensitive and confidential information.
  • Skilled in the use of MS Word, MS PowerPoint and MS Excel at an intermediate level.
  • Skilled in reading, comprehending, interpreting and executing simple instructions, short correspondence and memos.
  • Skilled in writing simple correspondence.
  • Skilled in adding, subtracting, multiplying and dividing using whole numbers.
  • Required to travel to company offices, sites, and/or meeting locations for onboarding, training, meetings, and events for development, department needs, and business delivery up to 5% of the time, with or without reasonable accommodation. This may be in addition to travel requirements, if applicable, as listed in this job description.
  • Required to be 18 years or older. This may be in addition to other age requirements, if applicable, as listed in this job description.

Preferred Qualifications

  • Bachelor’s degree.
  • Experience reading and interpreting documents such as corporate policies, operating and maintenance instructions, and procedure manuals.
  • Experience writing routine reports and correspondence.
  • Experience speaking effectively before groups of customers or employees of an organization.
  • Experience with ADP or Kronos.
  • Experience completing and evaluating assignments, requiring originality and ingenuity.
  • Knowledge of fundamental HR concepts, practices and procedures of this particular field of specialization.
  • Skilled in adding, subtracting, multiplying, and dividing in all units of measure, using whole numbers, common fractions, and decimals.
  • Skilled in computing rate, ratio, and percent and drawing and interpreting bar graphs.
  • Experience defining problems, collect data, establish facts, and draw valid conclusions.

Compensation:

  • Hiring Salary Range Posted: $23.56-$31.83
  • Actual compensation paid within the range will be determined by factors such as the education, experience, knowledge, skills and abilities of the applicant, internal equity, and alignment with market data.
