The Role in Brief:
Events Coordinator
The Events team is responsible for the strategy, planning, and execution of EAB’s national meeting series, international programs, industry conferences, small executive-level roundtables, summits and virtual events. Additionally, the department offers planning support to firm-wide events such as the firm’s annual meeting, Take our Children to Work Day, and nonprofit pro bono events, among others.
This position will be based in Richmond, VA.
Primary Responsibilities:
- Collaborate with event manager in developing event strategy for in-person and virtual events; serves as a consultant to the team by bringing forward innovative event ideas and event goals are met
- Responsible for the planning and day-of support of EAB virtual events; offers guidance to program teams on creating an engaging virtual experience while also supporting the technical platform.
- Manage hotel room blocks including reporting weekly pick-up numbers to the event manager, assisting attendees with hotel related questions, and mitigating attrition
- Identify staff needs for events and recruit individuals from across the firm to support the planner on-site
- Create and send event communications to registered attendees; working closely with program team, the web team, account management, and marketing to develop a communication plan for each event
- Uphold the firm’s high service ethic, training staff on event protocols and service standard
- Manage supplies for each event, ensuring supplies are ordered, shipped, and tracked
- Assist in the collection, review and analysis of historical meeting data (attendance, room block pick up etc.) in order to predict future trends
- Assist members with logistical questions for upcoming meetings
Basic Qualifications:
- Bachelor’s Degree
- Proof of Covid-19 vaccination
- Excellent academic record
- Customer service experience
- Attention to detail
- Proven experience managing multiple, competing priorities
- Internal candidates must be able to demonstrate a record of achievement throughout EAB tenure
