What are the responsibilities and job description for the Facilities Coordinator position at Eagle County Government?
Hiring Range: $24.81- $31.02. The maximum pay for this position is $37.22.
The Facilities Coordinator will exercise a significant amount of independence to develop, implement, maintain and improve complex workflow processes for the departments of Facilities, and Project Management. The coordinator will develop workflow processes for the accounts payable and revenue collection activities, monitor budgets, analyze expense and revenue data to modify systems accordingly; gather and analyze information pertaining to planning needs, and develop and monitor data collection systems.
Facilities and Project Management's mission is to provide high-quality programs for a safe, clean, productive, and well-maintained physical environment for Eagle County Government buildings, grounds, and fairgrounds.
Schedule: Monday to Friday, 8am-5pm, flexible schedule available!

Essential Functions:
- Development and management of workflow processes for processing A/P and revenue payment and posting cycle, including tracking and reporting expenses/revenues for budget analysis for Facilities and Project Management. Serve as staff point of contact for financial system knowledge, and training, responsible for the input of budget information into the financial system, and research any issues related to budget calculations,, appropriations and supplementals.
- Responsible for planning, organization, and coordination of specific projects or project support assigned under the general supervision of the Facilities and/or Construction Manager.
- Assist with budget projections by performing trend analysis and by maintaining expense/revenue data to produce reports and develop budgets for division managers.
- Interacts with the public, in person or over the phone, to handle public meeting room rental programs, and financial transactions, research, and answer technical/specific questions, provide information or resolve problems.
- Organize and coordinate assigned projects and resources efficiently for Facilities and PM. Monitor and communicate administrative policies, procedures, and standards for the department to maintain internal and public confidence. Performs other related work and special assignments as requested, including research and preparing reports. Order furnishings and supplies.
- Manage administrative and operational support software systems with the objectives of data integration, input, and technical troubleshooting of software application products including building access, and maintenance work order systems. (Matrix, RepairLink, Keystone, NWS, Point N’ Pay,)
- Coordinates communication and/or the preparation of publications for department outreach, website information, RFP/RFQ posting to newspaper and website. Supports Project Managers with the coordination, development and publication of contracts, RFP/RFP’s, and IGA’s and their respective execution.
- EOC ESF 7 Support.
- Coordinates requests from Directors, Managers, Supervisors, and department staff with administrative and operational support including handling day-to-day requests, special projects, tracking procedures, and/or program needs.
- Handles and maintains confidential and sensitive information on a regular basis.
- Confers with upper management to keep them informed on key issues and progress toward objectives, to gain their support and approval with regard to software administration, facility utilization and planned maintenance programs.
- Ensures record compliance for Facilities and PM, including the State Archivist record retention schedule, Colorado Department of Public Health & Environment [CDPHE].
- Observes safety and security procedures, uses equipment and materials safely, and reports potentially unsafe conditions.
- Serves the community by demonstrating Eagle County Government's mission and core values and following relevant policies and procedures.

Qualifications:
Education, Experience, Licensure, Certification, or Registration:
- Minimum Work Experience: Four years of related experience in Budget Control or Accounting functions for Public Works, Construction, Architectural or Property Management. Or a combination of experience that develops the required skills and abilities yet, more than five years is preferred.
- Valid driver’s license and satisfactory driving record is required.
Knowledge, Skills and Abilities:
- Business, organizational, budget and communication principles and practices.
- Ability to multi-task and prioritize and strong attention to detail
- English, spelling, punctuation, grammar, and proficiency on computer and other office equipment.
- Scheduling and prioritizing work.
- Basic accounting principles and advanced bookkeeping skills.
- Excellent written and verbal communication skills necessary to effectively, resolve minor complaints, and resolve situations of conflict.
- Computer software programs including spreadsheets, databases, word processing, and presentations.
