What are the responsibilities and job description for the Operations Coordinator position at Earthseed Farm?
Primary Function: Under the supervision of the Director and Operations Manager, support the administration and operations of the farm and organization. Maintain procedures, processes, best practices, and systems to help the farm and organization operate efficiently and the staff to do their work most efficiently. Provide direct administrative support to the organization’s Director and support the Operation Manager with human resources, wholesale, organizational development, culture and employee well-being. This position will work onsite at the farm with the flexibility of working remote in the slower months of the year.
Administrative
- Utilize team work plan template for organizing and managing tasks for coordinating operations
- Serve as executive assistant to the Director by fielding calls, emails and requests. Schedule and note take at meetings.
- Update website as needed with current organization and farm information
- Order and support the tracking of farm supplies such as water, propane, diesel, farm machinery parts etc.
Human Resources
- Respond to HR related inquiries
- Work with the insurance representative to maintain farm and auto insurance accounts for billing and policy tracking.
- Draft contracts and agreements for hiring contractors, and farm apartment lease agreements.
- Write offer letters, termination letters, move-out agreements and license/lease termination letters.
- Set-up new hires with a Gusto account, Earthseed email and any additional on-boarding support as needed. Provide ongoing support with Gusto and email management.
- Manage the benefits renewal process for full-time employees.
- Track employee sick and vacation time.
- Update the Employee Manual as needed, work with lawyer and founder on language and updates. English and Spanish version.
- Compile annual worker’s comp payroll audit report for full-time, seasonal and 1099 employees.
- Assist with design and prep for team meetings, educational programming, orientations and retreats.
- Assist with “Team Well Being Culture” through purchasing employee birthday gifts, team acknowledgement (March 1st, National Employee Day) ideas, wellness activities and nap reminders
- Process payments for farm contractors and vendors.
Wholesale
- Respond to wholesale program related inquiries
- Along with the operations manager, generate and send the weekly order invoices to customers during wholesale season and handle the daily and weekly responsibilities of tracking available case counts and varieties.
- Accounts receivable and payable. Send wholesale invoices to customers.
- Purchase wholesale and programming supplies.
- Support operations manager in tracking & ordering packaging and supplies.
CCOF, CDFA & Food Safety Management
- Along with the farm managers and agricultural stewards, adhere to ongoing organic certifications practices stipulated by CCOF.
All jobs are responsible for
- Pitching in when there are last minute needs of the farm
- Setting a positive work environment for the team.
- Attend at least one tour, retreat, U Pick or other programmatic event each season.
- Relationship building & partnership management.
- Attend at least one professional development opportunity each year.
Essential Knowledge, Skills and Experience:
- Bachelor's Degree
- High School Diploma or GED
- Minimum 2-5 years progressive work experience in a similar role preferred.
- Possess a strong understanding of operational processes and best practices.
- Exceptional communications skills, verbal and written, a focus on quality customer service.
- Able to work independently, as well as contributing to a team cohesive environment.
- Ability to successfully manage multiple priorities and meet deadlines.
- Detailed oriented and highly organized.
- Strong interpersonal skills for effective collaboration and problem solving with all team members.
- Knowledge of basic accounting.
- Proficiency in Microsoft Outlook, Word, PowerPoint, Excel, QuickBooks, Google Applications.
