Manager - Site Operations Phillips Family Cancer Center

BRIEF POSITION SUMMARY:

Supports business operations in leading the Phillips Family Cancer Center (PFCC) to transform the facility into organizational effectiveness, improvement, and development. Responsible for the overall day-to-day administrative operations and delivery of the critical components of the front-end business for the Phillips Family Cancer Center. Implements new systems/procedures and support staff in efforts to ensure high-quality and cost-effective patient care while ensuring appropriate revenue cycle management. Highly focused position to ensure that staff possess a deep knowledge of what constitutes high-quality service from the perspective of patients, families, and other customers. This position will collaborate with all departments involved at PFCC to meet short-term and long-term strategic goals.

RESPONSIBILITIES:

  • Closely align with SB Mart administration, SB Radiation Oncology, SBSH Senior Leadership to integrate programs.
  • Oversees and coordinates the flow of the administrative functions of the Phillips Family Cancer Center through service management of both oncology units.
  • Supports an environment of care regulatory compliance for an Article 28 facility.
  • Coordinates day-to-day operations of various teams within PFCC.
  • Generates and maintains the required statistics of PFCC functions, including patient access, patient numbers, treatment metrics and numbers, and those of revenue cycle, etc.
  • Collaborates with Nurse Manager to ensure operational efficiency and opportunities for improvement.
  • Ensures appropriate staffing levels are met based on operational needs.
  • Collaborates with SBSH Senior Leadership on performance expectations, regulatory requirements, and accreditation mandates.
  • Implements process improvements based on identified inefficiencies.
  • Collaborates with leadership of other departments on guidelines affecting any aspect of the Phillips Family Cancer Center to support quality patient care as well as meet health and safety standards.
  • Developes, maintains, educates, and ensures training of staff members on policies and procedures.
  • Coordinates and conducts PFCC departmental staff meetings.
  • Maintains budges for office supplies and orders of medical supplies, medical equipment, and patient education materials.
  • Develops and maintains positive customer relationships with all patients, colleagues, visitors, vendors, etc.
  • Investigates all patient complaints and adjudicates in a timely fashion. Timely responds to patients and takes action where needed.
  • Addresses employee relation issues including policy questions, performance evaluations, staff development, disciplinary issues, and personnel actions.
  • Manages time and attendance for all non-nursing PFCC staff.
  • Adheres to all company and department policies and procedures in confidentiality, regulatory or contractual mandates and HR policy.
  • Performs other related duties as requested.

REQUIREMENTS/EXPERIENCE AND QUALIFICATIONS:

  • Bachelor's degree in business, Healthcare, or related field required.
  • Master's degree strongly preferred.
  • Five (5) years of knowledge in Healthcare, Revenue Cycle, and/or Business Office required.
  • Five (5) years of Office Management/Staff Supervision experience required.
  • Strong communication, interpersonal, and multitasking skills required.
  • Quantitative analytical skills and computer savviness required including Microsoft Office, Work, Excel, and PowerPoint required.
  • Attention to detail and accuracy required.
  • Ability to work with minimal supervision required.

  • Willingness to travel to hospital offsite facilities required.

StaffCo is a Professional Employer Organization, commonly referred to as a PEO. StaffCo and SUNY have entered into a professional employer agreement under which StaffCo is the employer of Stony Brook Southampton employees and responsible for employment, including the day-to-day direction and supervision of work. StaffCo is fully responsible for providing all Payroll and Human Resource services, including the payment of wages, collecting and reporting payroll taxes and maintaining any and all benefits for which one is eligible. SUNY Stony Brook Hospital is responsible for the operation of the hospital and provision of health care and is the co-employer as is necessary to conduct its responsibilities and for related licensure, regulatory or statutory requirements and obligations.

Given StaffCo’s employment responsibilities, it is deemed the “employer” for employment and labor law purposes. Thus, the employees are private sector employees of StaffCo, not public sector employees of SUNY. The private sector nature of the StaffCo employees has been approved by NYS Civil Service and upheld in a decision by the US National Labor Relations Board.
