POSITION DESCRIPTION
POSITION TITLE: Receptionist
LOCATION/DEPT.: Rockford
REPORTS TO: Director of Social Services
FLSA CATEGORY: Non-Exempt
STATUS TYPE: Regular Part Time
OUTCOMES
Administrative support will be provided to the Social Services Department in order to accomplish the mission of The Salvation Army in Winnebago County.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Greet clients or visitors coming to the office.
- Assist with clerical and filing duties.
- Answer the telephone, take messages, and forward to the appropriate person.
- Assist with the receiving of mail and distribute to the appropriate mailbox.
- Keep statistics and submit monthly reports to the Social Services Director.
- Make appointments for clients.
- Receive funds donated at the office and to issue a receipt to the donor. Ensure that all funds received are secure.
- Make telephone calls on behalf of the Social Service Director.
- Make referrals to other social service agencies when requested.
- Ensure the office area is locked and secure whenever leaving the area if no other staff are present.
- Ensure the office and lobby area is kept neat and clean.
- Process food pantry applicants who have previously sought assistance.
- All other duties as assigned.
REPORTING RELATIONSHIPS
This position reports to the Director of Social Services
EDUCATION/EXPERIENCE
- High school diploma or GED equivalent preferred.
- Previous reception or office experience preferred.
- Experience with a computer based work environment.
COMPETENCIES
- Good typing skills.
- Computer proficiency with Windows operating system, Microsoft product proficiency and familiarity with Power Point and Excel.
- Good communication and interpersonal skills.
- Demonstrated ability to use initiative and be a self-starter.
- An excellent attention to detail, procedures, processes and policies.
- Supportive of the mission of The Salvation Army.
- An ability to work with confidential material.
- A positive attitude and the ability to be flexible in light of changing job situations/priorities.
PHYSICAL DEMANDS/WORK ENVIRONMENT
- This position is required to do light physical work.
- In order to successfully perform the essential functions of this position, the employee is regularly required to use standard office equipment and a PC.
- The work environment for this position includes an office environment with a low noise level.
