Title: Office Manager
Report to: Executive Director/Director of Services/Quality Assurance Director
Job Description:
The Office Manager is responsible for a variety of administrative duties. This position must possess excellent communication skills. Clerical duties are among the primary responsibilities.
Essential Functions:
Follow operation procedures and personnel policies
Responsible for opening and closing the Office
Communicate effectively with all staff and report any serious issues.
Greet and help all visitors, guardian, individuals, staff, vendors and applicants.
Answer phone and take messages as needed. Forward all messages to appropriate personnel.
Act as a help desk for employees, management, vendors, and other agencies.
Attend mandatory meetings and serve on committees as requested
Attend necessary seminars or training sessions as needed or requested
Maintenance of office equipment/purchasing office supplies.
Process of worker’s comp claims as needed.
Weekly distribution of Grocery/PSA checks for individuals served.
Update outgoing phone greeting.
Communication with cleaning crew.
Work unusual or extra hours or in other offices as the job dictates.
Upkeep of the vending machines (if applicable)
Communicate with other companies with regards to equipment in the office.
Keep track of daily attendance/office personnel
Keep track of credit cards and receipts
Keep track of in and out logs of vehicles
Reserved training rooms and conference rooms
Help applicants if necessary
Help with staff and the mail/copy room
Order and keep inventory of PPE supplies
Agency Related Functions:
Remain knowledgeable of agency functions and procedures
Education for general public to better serve people with disabilities
Ongoing communication with Regional Offices and other agencies
Become familiar with the individual’s we serve and treat them with dignity and respect
Be an advocate for individuals and serve as a role model
Maintenance of positive relationships with families and guardians
Positive public relations
Positive working relationships with other staff as well as other providers and state agencies.
Report all suspicion or incidents of abuse or neglect to Program Manager/Executive Director/Director of Services immediately
Perform additional duties not specifically mentioned above when emergencies or unusual situations arise.
Qualifications/Standards:
High School Diploma/GED and two years minimum experience
Applicant cannot have a felony record or previous record of abuse or neglect as defined under the State MR/DD Licensing standards.
Experience and education in instituting and conducting all phases of office procedures.
Knowledge of computer operations and software applications.
All staff must complete any agency orientation and emergency procedures
