What are the responsibilities and job description for the Admin Assistant/Bookkeeper position at EC + Associates Engineering?
We are looking for an administrative assistant /bookkeeper that is positive, self-directed, and accountable
Duties Include:
- Record transactions bills/ invoices in foundation Software
- Setting up digital meetings via Zoom
- Answer and direct business telephone in a professional manner
- Correspond via email with vendors/ customers and all business-related activities.
- Subcontractors’ management including obtaining insurance certificates, W9s, contracts, prelims
- Insurance management and certificate request
- Oversee bank accounts transactions daily
- Bank account and credit card reconciliation
- Accounts payable
- Pull permits from municipalities relating to construction projects
- Pull and update business licenses
- Accounts Receivable
- Reviewing and approving payroll weekly
- Scanning and sorting documents according to filing system
- Order office Supplies
- Open mail, scan it, direct to correct staff
- Monthly union reports
- Assist with order entry and data entry tasks
- Special event planning and coordination efforts
- Other duties as assigned
- Must have a reliable car
- Experience in general contracting is preferred.
- Skilled at anticipating needs and being self-directed
- Attention to detail and accuracy in all work performed

- Minimum 2 year experience as Bookkeeper
- Ability to work independently and in a team environment
