Under general supervision, performs a variety of technical and clerical tasks to ensure efficient operation of the office. Supports Executive Director and other employees through a variety of tasks related to organization and communication.
Required qualifications
Two-year degree with clerical experience.
Experience with LINQ and IDEA budgets is highly preferred.
Essential duties and responsibilities
Knowledge of Exceptional Children Programs and Budget and current laws and requirements to meet with related staff to interpret and implement regulations.
Analyze financial data, reconcile accounts, and prepare reports
Build budgets for all federal programs and various grants
Assist in the management of student and school data
Assist the organization and development of program audit and evaluation visits
Coordinate data collections required by the State Department of Education and assure deadlines are met
Create and compile online surveys as requested
Obtain quotes, order merchandise, ensure delivery, compile billing documents.
Complete requisition requests and purchase orders
Compile and maintain Federal Programs inventories
Assist with completing various reports for the Department of Public Instruction
Arrange travel for various Exceptional Children and Student Services training and conferences
Participate in appropriate training, workshop, and in-service programs
Assist Homeless Liaison when needed regarding Title I
Perform time management and scheduling functions, meet deadlines, and set task priorities
Follow oral and written instructions and observe District, Sate, and Federal policies and procedures
Additional duties
Performs other related tasks as assigned by the Executive Director.
Essential knowledge and abilities
Ability to perform all basic office functions
Adept in computer usage including Word, Excel, and Google Sheets
Knowledge of purchasing guidelines as well as managing expenses and balances
Ability to communicate effectively in oral and written forms
Ability to develop and maintain effective working relationships with co-workers and the public
Professionalism and ability to assure confidentiality regarding all matters and information.
Ability to work independently and ensure tasks are completed accurately and in a timely manner
Must be adaptable to performing under stress when confronted with emergency situations.
Applicant must have strong interpersonal skills and patience and the ability to work with teachers, parents, students, and staff.
Requires the ability to deal with people beyond giving and receiving instructions.
Strong written and verbal communication skills.
Must be able to communicate effectively and efficiently in a variety of technical or professional languages including medical, legal, and counseling terminology.
Must be able to operate a variety of simple standard office equipment such as computers, copiers, calculators, pencils, scissors, etc.
Must be able to exert up to 10 pounds of force occasionally; and/or a negligible amount of force constantly to lift, carry, push, pull or otherwise move objects.
