Job Title: Bilingual Receptionist
Job Summary: We are seeking a highly organized and customer-focused Bilingual
Receptionist to join our team at our Easton facility. The ideal candidate will be proficient in English and Spanish, possess excellent communication skills, and have a warm and welcoming demeanor. As the first point of contact for our company, you will play a crucial role in providing exceptional service to clients, guests, and team members.
Responsibilities:
- Greet and welcome visitors, clients, and employees in a friendly and professional manner, ensuring a positive first impression.
- Manage the reception area, ensuring it is clean, organized, and presentable always.
- Answer and direct incoming calls, take accurate messages and forward calls to appropriate team members.
- Provide information about the company's products, services, and policies to callers and visitors.
- Sending samples to customers, clients, and brokers.
- Assist with scheduling appointments and meetings, coordinating conference room reservations, and managing calendars.
- Handle incoming and outgoing mail, packages, and deliveries efficiently.
- Maintain a visitor log, ensuring accurate record-keeping of guest arrivals and departures.
- Collaborate with various departments to ensure smooth communication and coordination of tasks.
- Assist with administrative tasks such as data entry, filing, and maintaining office supplies.
- Assist with translation and interpretation tasks as needed, ensuring effective communication between English and Spanish speakers.
- Uphold security procedures by monitoring access and issuing visitor badges.
- Handle sensitive and confidential information with the utmost discretion.
- Provide exceptional customer service and resolve inquiries or issues promptly.
- Additional duties as assigned.
Qualifications:
- High school diploma or equivalent; additional administrative certifications are a plus.
- Proficiency in English and Spanish (written and verbal) is essential.
- Previous experience as a receptionist, administrative assistant, or in customer service is preferred.
- Excellent interpersonal and communication skills, with a friendly and approachable demeanor.
- Strong organizational skills and attention to detail.
- Ability to multitask and prioritize tasks effectively in a fast-paced environment.
- Proficient in using office software (e.g., Microsoft Office Suite, email, and scheduling tools).
- Strong problem-solving skills and the ability to remain composed under pressure.
- Professional appearance and courteous behavior always.
- Knowledge of cultural nuances and etiquette related to Spanish speakers is a plus.
