Responsible for approximately 5% of the overall Office of Student Affairs Budget, earmarked for Events and Programs.Independently, create, manage, and project yearly internal events budget within Office of Student AffairsCoordinate all events, student org, and student outreach related transactions, and maintain records of all event related expenses. Reconcile expenses through extensive record keeping.In partnership with Director and Associate Deans, plan, organize, and execute orientations for each class (M1-M4) each year. Identify objectives and provide instructions in a variety of training disciplines to onboard students to their respective year. Identify possible roadblocks to planning and choose effective approaches to developing solutions.Develop and execute orientation schedule for each class (M1-M4). Collaborate with internal and external partners to present at sessions. Organize schedule and book presenters for each session. Knowledge of standards set forth by AAMC to maintain student compliance. Implement compliance measures within various orientations.Develop, create, and implement staff plans for all office related events. Develop and implement short-term strategies consistent with program goals for the event.Independently work with campus partners yearly to arrange for onboarding needs of incoming students and renewals for upperclassmen. Advise and collaborate with internal and external partners about onboarding needs.Develop, plan, and manage First Year events: White Coat CeremonyDevelop, plan, and manage Senior Events: Check-Out Week, Match Day Ceremony, BSOM Convocation, ECU Commencement transportation, Senior Award’s Day Ceremony, and String of Pearls.Create and execute staff plan for first year and senior events. Independently manage staff for each event.Maintain and enhance professional relationship with Creative Services (or other necessary resources) to increase credibility for marketing events through related printing requests. Market assigned areas to convey importance and attendance of various events.Independently coordinate office functions (including holiday celebrations) i.e. decorating, arranging/ordering food, and coordinating other necessary resources for events. Additionally, responsible for managing office decorations.Develop relationships with campus partners across both main and the health sciences campus necessary for the successful completion of job tasks.Lead and/or train volunteers and other staff members regarding event needs by conducting and developing multiple training program to meet organizational needs. Prepare plans and materials related to volunteer trainings.Plan and Coordinate the Fall and Spring Financial Wellness and Planning Series in partnership with OSA Director, Financial Aid Representative and Community Partners. Market events to students in order to gain interest and implement program goals.Engage in data analysis focused on annual improvements and office/events development plans in partnership with Associate Dean and Director. Independently create feedback assessment tools to determine annual improvements for Events/ProgramsMaintain wall calendar in OSA regarding annual events. Create marketing items for various annual events.Manage the Brody School of Medicine Office of Student Affairs social media presenceOrganize and distribute weekly student announcements over social media, email and newly installed the 2nd floor digital signage boards. Apply creativity to development of social media presence.Serves as main point of contact/liaison with the Student Organizations Office on ECU’s main campus – communicate regularly with students to explain and interpret guidelines set forth by ECU’s Office of Student Activities and Organizations. Assist students in submitting student organization requests. Work in collaboration with ECU Office of Student Development and Leadership to approve new student organization requests and onboard groups accordingly.Independently track student attendance through the absence policy approval process. Receive and review all student absence requests.
