                                                     JOB DESCRIPTION

 

 

 

Title:                                       Middle School Financial Secretary            

Department:                           School Office

Immediate Supervisor:           Principal

                                  

Job Goal:     To effectively implement the financial policies of the School District as they pertain to Financial and Activity Accounts at the middle school level.

 

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

 

  1. Maintain ledger and all activity account records in accordance with Board Policy and state law.
  1.  Provide monthly and annual summary of activity fund to the principal and Director of Finance.
  1. Maintain purchase order log, type purchase orders, and ensure adherence to activity account purchasing procedures.

    4. Process checks for payment of invoices, maintain checkbook.

  1.  Distribute and maintain records of teachers receipt books.
  1.  Process district requisitions and maintain purchase orders; order, distribute and maintain inventory of all supplies for school.

    7.  Responsible for distribution of paychecks.

    8.   Working with principal on current and following year budget.

  1. Responsible for sales; and distribution of school fundraisers.
  1. Responsible for deposits at the bank.

 

Discretionary Job Functions (Assists on an as needed basis):

                  

  1. Medication dispensing; maintain medication authorization files, and basic first aid.

 

  1. Receive visitors and assist with telephones.

 

  1. Assist with free and reduced lunch applications.

 

  1. Supervise student phone.

 

  1. Maintains back-up on administrative computer systems.

 

  1. Clerical duties as requested by the administration.

 

  1. Sort and distribute inter-office and U.S. mai

 

  1. Monitor students sent from class for discipli

 

  1. Maintain student insurance and accident report files.

 

  1. Maintain long distance telephone records.

 

  1. Copy machine maintenance.

 

  1. Instructional fund requisitions, textbook orders and furniture orders.

 

  1. Maintains school inventory.

 

  1. Other duties may be assigned.

 

Length of Contract:       One hundred eighty-five (185) contract days. 

Salary commensurate with experience on the negotiated agreement of the Support

Employees of Edmond (SEE).

 

Evaluation:  Performance of this job will be evaluated by the Principal in

accordance with the provisions of the Board's policies, state law, and the negotiated

agreement with the Support Employees of Edmond (SEE).

 

SUPERVISORY RESPONSIBILITES:

Student Office Assistants.

 

QUALIFICATION REQUIREMENTS:

EDUCATION AND/OR EXPERIENCE:

High School Diploma or General Education Degree (GED).

CERTIFICATES, LICENSES, REGISTRATIONS:

None required.

 

LANGUAGE SKILLS:

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.  Ability to write reports, business correspondence, and procedure manuals.  Ability to effectively present information and respond to questions from groups, staff, parents, and the general public.

 

MATHEMATICAL SKILLS:

Ability to plan budgets and use the mathematical skills required to do so.  Maintain accurate records and support documentation for projects under the supervision of the position.

 

REASONING SKILLS:

Ability to define problems, collect data, establish facts, and draw valid conclusions.  Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

 

OTHER SKILLS AND ABILITIES:

Ability to use computer and computer related programs and other technologies needed to perform essential job functions.  Ability to apply knowledge of current research and theory.  Ability to establish and maintain effective working relationships with students, staff, and the community.  Ability to organize and chair or facilitate committees and meetings.  Ability to communicate clearly and concisely both in oral and written form.  Ability to perform duties with awareness of all district requirements and Board of Education policies.
