Job Description: Administrative Assistant II: Student Wellness

Reports to: Director of Student Wellness

Job Objective: Organize, coordinate, and perform duties that support the delivery and advancement of the Student Wellness Department

Appointment Type: Classified

Essential Functions:

  • Support the management of a well-articulated educational program by organizing all related documentation and processes.
  • Assist with the coordination and recording of all meetings with all professional staff and related groups to ensure health, collaborative processes in all aspects of the departments.
  • Assist in all technology and technology-based systems and support the effective integration of educational technology into the department and programs.
  • Coordinate planning, purchasing and invoicing for department and program staff.
  • Develop and maintain necessary documents for supporting the department and program work.
  • Assist in the coordination of in-service programs and professional/staff development experiences for all professional staff based on district and school priorities for instructional improvement.
  • Facilitate the participation of administrators and staff in professional development experiences to enhance their job-related knowledge and skills.
  • Maintain calendar/record of professional development experiences offered by the district as well as professional development records for certificated staff.
  • Act as a liaison between schools, departments, programs, staff, parents, the public, and outside agencies.
  • Organize procedures with staff, resolve routine matters based on general knowledge of district policies and procedures.
  • Assist in the coordination of the preparation and dissemination of program-related literature and publications.
  • Participate in all necessary department and program meetings.
  • Seek to continue own professional growth and development through attendance at relevant meetings, workshops, conferences, and similar activities.
  • Maintain a systematic filing system that supports the efficient retrieval of records.
  • Maintain calendar of events for the department and programs and keep administrators/staff informed about scheduled events.
  • Perform other related duties as may be assigned by the Director of Student Wellness
  • Strive to develop rapport and serve as a positive role model for others.
  • Maintain a professional appearance. Wear work attire appropriate for the position.
  • Perform other specific job-related duties as directed.

Minimum Qualifications:
Minimum requirements are used to establish clear and appropriate eligibility standards for a specific
position.
  • High school diploma, college education or degree, certification endorsement.
  • Maintain a record free of criminal violations that would prohibit public school employment.
  • Participate (and pass where applicable) in all required trainings, including but not limited to: Vehicle Safety, First Aid, CPR, Crisis Intervention, Blood Borne Pathogens, and others deemed appropriate for the position.
  • Comply with drug-free workplace rules and board policies.
  • Embody high ethical standards and integrity. Accept responsibility for decisions and conduct.
  • Adhere to Educational Service Center (ESC) Governing Board policies/administrative guidelines/staff handbook, policies of assigned worksite, and to the Licensure Code of Professional Conduct for Ohio Educators
  • Secure and maintain appropriate licensures required.
  • Promote the proper use, care, and security of Educational Service Center (ESC) property. Report misconduct, vandalism, equipment malfunctions and other concerns.
  • Advance the professional image of the service center and affiliated school districts.
  • Establish professional relationships with coworkers and functions as a part of a cohesive team.
  • Commitment to keep current with workplace innovations that enhance personal productivity.
  • Exhibit consistent, impartial, and resourceful critical-thinking skills.
  • Proficient in office protocols, data entry, spelling, proofreading, and the correct use of grammar.
  • Demonstrate dependability/flexibility and reacts positively to interruptions/emerging priorities.
  • Give thorough attention to detail and effective customer service.
  • Maintain an acceptable attendance record and is punctual.
  • Report suspected child abuse and/or neglect to supervisor and/or civil authorities as required by law.
  • Cross train with other staff, participate in meetings, and attend professional development in-services.
  • Maintain confidentiality of information relating to students.
  • Perform other specific job-related duties as required.

Working Conditions:
Promote safety, exercise caution, and comply with safety regulations and service center policies/procedures when involved in the following situations/conditions.
  • Risk of exposure to blood-borne pathogens, bodily fluids, and/or communicable diseases.
  • Risk of exposure to air-borne particulates, chemical irritants, combustible materials, electrical hazards, equipment vibrations, noises, and odors. Exposure to wet or slippery surfaces.
  • Exposure to adverse weather conditions and temperature extremes.
  • Balancing, bending, crouching, kneeling, reaching, and standing.
  • Lifting, carrying, and moving work-related supplies and/or equipment.
  • Must have the ability to occasionally move up to 50 lbs.
  • Operate and/or ride in a vehicle.
  • Work at various heights, in confined spaces, and/or invariable/diminished lighting.
  • Work in proximity to moving mechanical parts.
  • Travel to meetings and work assignments.

Job performance is evaluated according to policy provisions and contractual agreements adopted by the Educational Service Center of Northeast Ohio.
