Property Management Assistant

As a Property Assistant, you will apply your commercial property management administration experience to support our industrialproperty management team by interacting with tenants and vendors, assisting with budgets and reconciliation, coding invoices, tracking certificates of insurance, and providing administrative assistance to the property managers and maintenance team. DUTIES AND RESPONSIBILITIES include, but are not limited to:

Respond to all tenant requests for HVAC and Roofing service by arranging for and coordinating all normal operating repairs and replacements. Follow-up on completion, maintain service logs and reports.

Review all charges on invoices from vendors/suppliers for the necessary utilities, HVAC and roof services and allocate charges to the proper expense category.

Assist Property Manager with preparation of individual tenant reconciliation of operating expenses and real estate taxes on an annual basis.

Maintain and manage utility logs in database.

Assist Property Manager with budget preparation.

Maintain and update databases relative to tenant contacts, vendor contacts, and property information.

Perform data entry and maintain accurate records in the property management system.

Obtain insurance certificates from vendors and follow-up on expirations and/or renewals.

Utilize YARDI to track and manage maintenance requests.

Answer phone calls and handle inquiries with excellent phone etiquette.

Assist with preparation, organization, and implementation of other property management functions as required.

EDUCATION AND EXPERIENCE:

3 Years experience in property or facility assistant.

Work experience with Yardi is a plus, preferably in a property or facility assistant position.

Proficient in Excel, Micro Soft Office
