The Executive Administrative Assistant will greet and direct visitors, serving as a primary point of contact and liaison between the public and staff on a range of day-to-day business issues; provide sensitive information to board of directors and investors by phone or face-to-face or by routine correspondence. This position uses computer software to create and track stock certificates, income spreadsheets, financial analysis, prepare presentations, reports, and documents. Work involves completing several steps and processes and analyzing multiple sources of data to identify facts and take required actions.
The Executive Administrative Assistant will organize facilities for investment meetings, special events and make travel arrangements; will have to use videoconferencing and other office equipment. Provide administrative support and follow-up on matters arising from meetings. This position will compose and prepare written documentation and correspondence for the office; screens and evaluates incoming and outgoing correspondence and prepares responses as appropriate. Independently researches, prioritizes, and follows up on multiple incoming issues and concerns, including those of a sensitive and/or confidential nature; determines appropriate course of action, referral, and/or response.
Sometimes this level may have more authority for making decisions without prior approval for the design and implementation of administrative operations to accomplish the work unit’s responsibility. Some of the duties at this level include assisting with gathering budget and accounting data for budget development and administrative responsibility for several programs. May assist with the selection process to fill office support positions, assign work activities to other support staff. This role may prepare analysis and make initial evaluations and recommendation for improvement to administrative procedures, and develop and prepare meeting agendas for managers, boards, and committee members. Manages and oversees all day-to-day secretarial and administrative activities of the office.
Degree in Accounting or Finance preferred.
