We are seeking a detail-oriented and experienced Construction Project Administrator/Submittal Clerk to join our team with a focus on federal government projects. The ideal candidate will have a strong background in construction project administration, a thorough understanding of federal government contracting processes, and proficiency in RMS (Records Management System) software. Your role will be critical in ensuring the smooth execution of construction projects and compliance with government regulations.
Responsibilities:
Submittal Management: Coordinate and manage the submittal process for federal government construction projects. Ensure that all required documentation, materials, and information are submitted and tracked in accordance with project requirements and federal regulations.
Records Management: Utilize RMS software to maintain accurate and up-to-date project records, including submittals, RFIs (Requests for Information), change orders, and other project-related documents. Ensure proper organization and accessibility of records for audit purposes.
Government Compliance: Stay current with federal government contracting regulations, guidelines, and procedures. Ensure that all project documentation and processes adhere to these requirements to facilitate successful project execution and compliance.
Communication: Serve as a liaison between project teams, contractors, vendors, and government representatives. Facilitate effective communication and collaboration to ensure timely and accurate delivery of project documentation.
Documentation Review: Review and verify the accuracy, completeness, and quality of submittals and other project documentation. Identify and address discrepancies or issues promptly.
Reporting: Generate regular and ad-hoc reports on project status, submittal progress, and compliance for internal and external stakeholders.
Workflow Coordination: Assist in coordinating workflow among different project teams, ensuring that information flows smoothly and tasks are completed on schedule.
Training and Support: Provide training and guidance to team members on proper documentation procedures, RMS software usage, and federal government compliance requirements.
Qualifications:
Bachelor's degree in Construction Management, Engineering, or a related field (preferred but not mandatory).
Proven experience in construction project administration, particularly with federal government projects.
Proficiency in using RMS software for document management and recordkeeping.
Strong understanding of federal government contracting processes, regulations, and compliance requirements.
Excellent organizational skills and attention to detail.
Effective communication and interpersonal skills for collaboration with diverse stakeholders.
Ability to work independently and manage multiple tasks simultaneously.
Problem-solving skills to address issues related to documentation, compliance, and project coordination.
Familiarity with construction terminology and industry practices.
