Executive Assistant
Are you ready to join a small but mighty team of landscape architects who have a passion for progressive and socially responsible projects? The founding principal is seeking an Executive Assistant to be her “administrative right-hand”, relieving her from day-to-day operational functions and allowing her to focus on high-level leadership. The Executive Assistant will play a key role in our efforts to advance company initiatives and goals, as the position involves providing day-to-day executive support, general office administration, marketing support, and contract administration for public- and nonprofit sector projects.
Responsibilities
- Work directly with the principal to support all aspects of her daily work routine.
- Routinely perform a wide variety of support duties: printing, faxing, mail/overnight packages, copying, filing, and email/messages, sort and triage mail; maintain e-mail and other address directories, schedule internal meetings and other duties as assigned.
- General Office Administration: assist with select HR, insurance and finance duties.
- Marketing Support: work with marketing team to support proposal submissions
- Manage MWBE and DBE certification applications and renewals
- Track active certifications for renewal; manage annual status affidavit filings.
- Maintain certification archives.
- Contract Administration
- Anticipated Start Date: August 2023
Qualifications
- BBA or MBA with focus in finance or operations management.
- Not less than 5 years’ professional administrative experience (AEC industry experience preferred), with one year providing C-level support.
- Working knowledge of business software, including MS Word, Excel, PowerPoint, and Outlook; QuickBooks (familiarity with CANVA and Filemaker highly desired).
- Three (3) Professional references.
What We Offer
$62.4K - $83.2K, commensurate with experience and demonstrated expertise.
