We are currently seeking a full-time Contracting Compliance Administrative Assistant based out of our Westfield, MA location.

Job Description

The Contracting Compliance Administrative Assistant will execute: the subcontractor trade partner qualification process to minimize corporate risk and to best assure relations and hiring of qualified subcontractors; the contracting and compliance responsibilities for the corporation to maintain the overall quality, performance, and profitability of corporate operations; and the project-based cost analysis and auditing to evaluate forecasted and completed project financial performance.

Responsibilities include:

  • Provide effective support to the project management group to establish effective and harmonious working relationships with current and potential subcontractor trade partners.
  • Execute the corporate subcontractor trade partner prequalification and requalification process in coordination with the project managers, safety director, and senior management.
  • Assist the management group in the execution and maintenance of project specific subcontracts, certificates of insurance, and endorsements.
  • Assist in the execution of project creations for various departments in the Vista software.
  • Assist the management group in the auditing of project based costing and forecasting of project financial performance
  • Assist the operations administrative manager in preparing the monthly AIA billing and lien waiver process.
  • Assist the management group with the execution of change orders in the corporate financial system - Vista software.
  • Weekly follow up on project based collections, including the preparation for mechanic liens with senior management.
  • Work with the accounts payable specialist in preparing the subcontractor lien releases and processing of employee portal expenses.
  • Establish and adjust work schedules to meet production timetables, and work closely with all levels of management to ensure timely and quality-controlled projects

Qualifications:

  • Degree/Experience:
    • A minimum of five years experience in the administrative functions of the financial or insurance industry
    • Experience in the construction industry is strongly recommended
  • Experience in accounts payable, accounts receivable, and/or invoicing
  • Experience in assessing and auditing cost based financial performance of projects
  • Knowledge of construction insurance and legal contracting language is strongly recommended
  • Excellent computer skills that include an ability to work with Microsoft Office, Microsoft Project, Corporate Business System - Vista, and other related computer applications
  • Customer service experience
  • Strong written and verbal communication skills
  • Excellent mathematical and computer-analysis skills
  • Leadership, management, problem-solving, planning, and organizational skills
  • Ability to pass a preemployment background check & drug screening

Elm SOP s and training for the above items will be provided to the appropriate candidate
