Job Summary: R&R Mechanical has an immediate opening for a Payroll & HR Administrator in Washington, D.C. This position will be responsible for handling the daily responsibilities of employee payroll, benefits and human resources. The Payroll & HR Coordinator will report directly to the CFO.
Essential Duties and Responsibilities:
Payroll
- Manage and process weekly payroll for 180 employees by ensuring all electronic timecards have been submitted and are accurately recorded in the Foundation payroll system
- Process retroactive payroll adjustments as necessary
- Support employee questions regarding their payroll and any issues with the timecard system
- Gather and enter all field reimbursements/deductions into payroll system
- Update and distribute weekly employee list
- Add new employees and new jobs to payroll system each week
- Update various Union reports for new hires
- Enter and submit monthly Union hours worked for fringes/benefits payment requirements
- Prepare and submit special payroll reports including Certified Payroll & First Source Compliance
- Assist in preparation of unemployment & employment verification requests
- Run job labor reports as requested for project managers
- Work with Foundation payroll service to respond to any federal & state inquiries and tax notices
- Ensure that all quarterly and year end payroll tax returns & W-2’s are submitted on time by Foundation payroll service
Human Resources
- Evaluate, improve, and administer documents, processes & procedures across all aspects of the company to ensure compliance and consistency
- Serve as a visible contact and resource for employees with payroll & benefits questions/issues
- Serve as a resource to management regarding all HR issues
- Assist with performance management procedures
- Process and improve onboarding/exit procedures and related documentation
- Assist with all aspects of hiring process, including updating job descriptions, applicant screening and onboarding plans
- Act as main liaison with parent company’s HR & IT departments implementing any new initiatives
- Help identify potential systematic risks and assist in addressing any emerging issues
- Ensure compliance and best practices in all areas of HR, including federal/state employment as well as Union laws
- Serve as lead administrator and maintain an understanding of all company benefits for all employees
- Responsible for new employee orientation regarding benefit explanations
- Review and ensure timely employee benefit enrollments and obtain necessary documentation as required
- Ensure 401k & ESPP contribution data transmissions for each weekly pay period are processed accurately and on time
- Maintain and update benefits communications in accordance with current laws
Qualifications:
- Bachelor’s degree preferred
- Minimum of 10 years relevant experience
- Strong communication and interpersonal skills
- Attention to detail and strong organizational skills a must
- Proficiency with Microsoft Office 365- Outlook, Excel & Word
- Excellent time management skills and the ability to prioritize work
- Experience with Foundation payroll software preferred
