Job Title: Project Coordinator - Mechanical

Provide administrative support and project coordination to the Mechanical Department. Duties include general clerical and project-based work. Project a professional company image through in-person and phone interaction. This position reports directly to the Executive VP of Mechanical.

This job requires the ability and desire to work in a fast-paced multi-tasked environment with a focus towards administration, compliance, analysis, and customer service.

Essential Duties / Responsibilities:

Include the following. Other duties may be assigned.

  • Provide assistance to Project Managers and Mechanical Fabrication Manager.
  • Make copies of blue prints as needed.
  • Create and submit all public bid forms and letters.
  • Request Bid bond and performance and Payment bonds.
  • Type all RFI’s for bids.
  • Handle all mechanical and service contracts.
  • Create and maintain resumes.
  • Keep job contact information up-to-date for project managers and foremen.
  • Pull all permits necessary for a project.
  • Create and maintain the list for mechanical projects.
  • Request all certificates of insurance and parking passes necessary for mechanical and service jobs.
  • Create tax exemption certificates for various projects.
  • Create new files and assign job numbers for new projects.
  • Handle all new employee paperwork for the Mechanical Department.
  • Review the Executive VP of Mechanical’s state and fire protection licenses.
  • Obtain the pharmacy license renewal.
  • Create and maintain a spreadsheet with all updated contact information for the Mechanical Department.
  • Create apprentice layoff letters and send to the appropriate union.
  • Obtain notice of commencements for mechanical projects.
  • Create jury duty letters for release.
  • Handle expense reports for both office and field for the Mechanical Department.
  • Handle any service needed for the copy machine.
  • Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing.
  • Aid in handling miscellaneous employee issues

Education / Work Experience:

  • High School Diploma or GED is required.
  • 3 years’ clerical or administrative experience is required.
  • Previous experience in the construction industry a plus.
  • Advanced Education is a plus.
