We are looking for a part-time exceptional receptionists to join our team. We seek individuals who are passionate about serving clients and enjoy working with others.
As a Receptionist, you will perform receptionist duties for the front lobby and be the first point of contact for the Company. The Receptionist will serve visitors by greeting, welcoming, and assisting them appropriately upon arrival. You will coordinate front-office activities and answer and transfer phone calls. You will provide administrative support to HR and Payroll, and other departments as needed.
Hiring for the following schedules
- One for Shift A Monday – Thursday 730am-1230pm, work additional hours in HR for scanning, as needed
- One for Shift B Monday, Tuesday 1200pm – 500pm & Friday 730am – 1230pm
Essential Functions
- Handle all receptionist and front desk duties, including but not limited to
- Greet and assist clients upon arrival.
- Answer multi-line telephone console and transfer to appropriate person or department.
- Maintain professional environment at receptionist desk and lobby.
- Receive, sort, and distribute daily mail deliveries.
- Scan and electronically file documents.
- Assist HR and Payroll staff with specific tasks.
- Contact appropriate personnel to accept subpoenas.
- Type correspondence and maintain files.
- Prepare and coordinate group mailings.
- Act as liaison for employee related requests and questions.
- Other ad-hoc administrative support duties as assigned.
Additional Responsibilities
- Coordinates the pick-up and delivery of express mail services, such as FedEx, UPS, etc.
- Contacts the appropriate person upon receipt of a package or delivery.
- Works cooperatively with relief and shift coverage.
- Demonstrates excellent customer service skills and provides outstanding customer service to visitors and employees.
- Work collectively with all departments and personnel.
- Work within and promote corporate values.
Knowledge Skills and Abilities
- 2 years of experience in office administration or front desk receptionist role.
- Strong computer and Microsoft Office skills.
- Professional attitude and demeanor. Telephone etiquette is essential.
- Ability to handle sensitive and confidential material.
- Ability to multi-task; work under pressure.
- Must be highly accountable for assigned work and be able to work diligently with minimal supervision.
- Must be flexible, provide back-up when other receptionist out of the office or swap shifts.
Education and Experience
- Proof of high school diploma or General Education Degree (GED).
- Ability to communicate in Spanish a plus.
- Must be able to communicate (speak, read, comprehend, write) in English.
