Summary/objective
The Bilingual (Spanish) Maintenance Coordinator oversees all Empire Property Management Maintenance Technician’s schedule. Assign work orders to the correct Maintenance Technician Departments. Follow up on all Maintenance Technicians throughout the day. Overcome any obstacles with the scheduling of Maintenance Technicians.

- Organize and coordinate work orders for all Maintenance Technicians
- Schedule all Maintenance Technicians for work orders that need to be completed
- Responsible for scheduling vendors
- Responsible for scheduling the Maintenance Supervisor for his day to day tasks
- Keep tenants aware of what is going on in their units and give the proper notice to each tenant
- Problem solve with the Maintenance Supervisor for any issues that may arise in the day to day process
- Follow up on Maintenance Technicians when work is completed
- Reschedule any work orders if needed
- Check on full completion of all work orders
- Communicate with all departments of Empire Property Management to ensure work orders and getting scheduled and completed
- Adheres to company policies
- Promptly responds to incoming phone calls. Emails, and texts
- Directly responsible for customer service
- Answers phone calls, providing excellent customer service and screening calls for maintenance when necessary.
- Works well in a team environment and offers support as needed.
- Maintains filing systems as assigned.
- Retrieves information as requested from records, email, reports and other related documents; prepares written summaries of data when needed.
- Responds to and resolves administrative inquiries and questions.

Supervisory responsibilities
None
Work environment
- Generally in an office setting
- Occasional visiting of properties/residences for posting notices
- Driving personal vehicle to and from court and other locations for filing of documentation
- Could be exposed to weather due to travel and inspection of interior and exterior of dwellings
Physical demands
- Prolonged periods sitting at a desk and working on a computer.
- Occasional periods standing and walking, walking up and down stairs
- Must be able to lift up to 15 pounds at times.
- Able to travel as needed.
Travel required
- Travel by personal vehicle to the office, rental properties/residences and to courthouses in various locations.
Requirements
Required education and experience
Must be Bilingual and fully capable of effectively communicating in English & Spanish for business purposes.
- High School Diploma or equivalent/GED.
- At least two years of administrative/clerical experience required.
- Excellent verbal and written communication skills.
- Excellent interpersonal and customer service/presentation skills.
- Excellent organizational skills and attention to detail.
- Excellent time management skills with an ability to meet deadlines.
- Ability to prioritize tasks and manage multiple schedules.
- Proficient in Microsoft Office Suite, Google Workspaces or related software.
- Basic understanding of how to operate standard office equipment.
- Basic understanding of clerical procedures and systems such as recordkeeping and filing.
- Ability to work independently.
- Demonstrated ability to follow direction and shows aptitude for learning and retention of learned skills
Preferred education and experience
- Three to five years experience in an administrative role
- Experience in Real Estate, Property Management, or other related field a plus
- Knowledge of Appfolio Software is a plus
