What are the responsibilities and job description for the Recruiting Associate position at Empire State?
BASIC FUNCTION:
Work cohesively to provide support in the daily functioning of the Human Resources department by performing administrative duties to support the Talent Acquisition team. Handle confidential matters and materials appropriately and with discretion to support the department operations and provide back up support for HR Admin team.
WORK PERFORMED:
Recruitment/Onboarding:
- Schedule interviews with recruiter and hiring managers/panel (high volume) and update and maintain interview tracking log
- Send out Employment Applications to candidates and follow up to ensure completion.
- Conduct preliminary reference checks for selected candidates
- Provide building access for visitors via input in Kastle system (for NYC HQ only)
- Assist with other recruitment/onboarding duties such as, but not limited to; preparing job postings, soft offer letters, acceptance letters, distribution of orientation packages and assisting with obtaining ID cards (NYC HQ only)
General HR duties:
- Prepare & maintain employee personnel, benefits and verification file folders, filing documents in employee files and archiving inactive files to Central files periodically
- Processing temp agency invoices in Peoplesoft and routing for signature
- Assist with updating and maintain job description database
- Assist with review and processing of benefits paperwork during Open enrollment periods
- Other projects as assigned by supervisor, AVP and or department head.
Position expected to work onsite and/or remote consistent with NYS and ESD guidelines and needs.
MINIMUM REQUIREMENTS:
Education Level Required: H.S. diploma or equivalent required. Associate degree in relevant area a plus;
Experience Required: 3 years’ relevant experience; high volume scheduling and tracking.
Knowledge Required: Proficient with Microsoft Office Suite (Word, Excel, PowerPoint). Zoom, Webex and/or Peoplesoft a plus.
Superior ability to multitask with accuracy. Excellent oral and written communication skills, organization and follow-up skills. Confidentiality, excellent discretion and judgement a must.
