Job Title: Administrative Assistant

Purpose: To support the Leadership team in executive tasks with an emphasis on communication and organizational efficiency. Assisting in administrative tasks and providing support to executives, managers, and teams. From scheduling appointments and coordinating meetings to organizing documents and handling correspondence, administrative assistants ensure that daily operations run seamlessly. Their attention to detail, organizational skills, and ability to multitask enable them to streamline processes, allowing other team members to focus on their core responsibilities.

Position Overview: The Administrative Assistant will play a pivotal role in supporting the EPT leadership team, consisting of the CFO, COO, CEO, and Director of Administration. This position requires exceptional organizational skills, effective communication abilities, and a commitment to our company values and mission.

Key Responsibilities:

  • Calendar Management and meeting coordination: Coordinate and manage the calendars of the CFO, COO, CEO, and Director of Administration, including scheduling meetings, company events, and conference calls. Assist in the preparation of meeting agendas, materials, and presentations. Attend meetings, record minutes, and follow up on action items as needed.
  • Communication: Serve as a primary point of contact for internal and external stakeholders, managing emails, phone calls, and correspondence with professionalism and discretion.
  • Documentation and Record-Keeping: Maintain accurate and organized electronic and physical files, ensuring confidentiality and accessibility of sensitive information. Putting together and archiving agendas, taking meeting minutes, sorting, scanning, and filling all mail correspondence.
  • Travel Arrangements: Arrange travel logistics for the leadership team, including booking flights, accommodations, and transportation.
  • Expense filling: Ensure proof of purchase and receipt are received and filled in Quickbooks.
  • Project Support: Provide support for special projects, initiatives, and events as assigned by the leadership team. Such as, Company Christmas party, BBQ’s, quarterly events, etc
  • Team Collaboration: Foster a positive and collaborative work environment by actively engaging with team members and offering assistance and support as needed.
  • Ad-Hoc Tasks: Perform other administrative duties and tasks as required to support the efficient operation of the organization.
  • Running errands as needed for clinic locations
  • Store runs for office or medical supplies
  • Obtaining signature pages from providers
  • Storage unit: Bringing items to/from

Qualifications:

  • Bachelor's degree preferred, or equivalent experience
  • Proven experience as an administrative assistant or similar role, preferably supporting executive-level staff.
  • Strong organizational and time management skills, with the ability to prioritize tasks and multitask effectively in a fast-paced environment.
  • Excellent written and verbal communication skills, with a high level of professionalism and attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  • Ability to maintain confidentiality and exercise discretion when handling sensitive information.
  • Flexible and adaptable, with a positive attitude and willingness to take on new challenges.

Location: This position is based at our headquarters: 3765 E Blue Lupine Dr. Ste E and must be willing to commute to other clinic locations as needed (7985 E 16th Ave Ate 100 Anchorage).

Schedule: Monday – Friday, 25-32 hours a week. Approx. Hours: 9:00am – 3:00PM

· The scheduled hours are still being determined.

· The position may morph into a full-time position but will start as part-time.

· There are several times a year when this position may be needed after hours (i.e. events, open-house, Christmas party, BBQ’s, etc)

Minimum length of employment: 1 year

Compensation: $37,000-$50,000 annual salary BOE
