Job Overview:
The Compliance Client Services Specialist is responsible for assuring the successful onboarding and ongoing maintenance of Empyreal clients across all compliance department services. The Compliance Client Services Specialist will manage the on-time completion of the client onboarding administrative process. Key tasks include client communication, contract administration, billing, scheduling, recordkeeping, development of policies and procedures, and establishing standardized processes.
Responsibilities and Duties include, but not limited to:
- Establish record and document management systems
- Monitor incoming records and maintain accurate department records
- Maintain department appointment calendar and manage calendar software
- Act as professional first point of contact for clients
- Educate new clients on department services
- Facilitate entirety of onboarding process
- Track deadlines and ensure deliverables within requested timeline
- Provide clear and concise information to clients through asking clarifying questions
- Ensure effective and efficient communication internally regarding administrative tasks
- Design measurement standards, streamline existing and new programs, and consolidate data
- Leverage feedback, evaluate operations for process efficiency improvements, and make recommendations to management
- Clear documentation of client issues, queries, and requests
- Efficiently and effectively problem solve technical issues with department software
- Implementation and integration of web technology to ensure client experience is user-friendly
- Development of standard operating procedures
- Development of department materials
- Ability to establish priorities, work independently, and proceed with objectives with minimal oversight
Qualifications:
- Attention to detail, accuracy, time management, and organizational skills are critical
- Excellent written, verbal, and listening communication skills are required
- Must possess strong analytical, problem-solving, and escalation skills
- Exhibits high level of self-motivation
- Solid interpersonal, client management, and relationship building skills are requisite
- High proficiency in MS Word, Excel, PowerPoint, and CRM database systems is required
- Working knowledge of web technologies and integrations, including but not limited to, video conferencing, scheduling platforms, and form building programs
Desired Qualifications:
- Cannabis industry, regulatory compliance, licensing, and/or financial services experience
Education/Experience:
- Bachelor's Degree from an accredited institution or equivalent work experience is preferred
- Minimum 2 years of client contract coordination and/or administration, business development or sales support coordination, and/or project management experience
- Minimum 2 years of effective and professional client interfacing
Physical Abilities:
