JOB SUMMARY:

The Administrative Assistant will provide office assistance for Ena Holding (a real estate holding company) by providing a variety of general office tasks, running office errands, and other administrative, financial, and facility support activities.

ESSENTIAL FUNCTIONS:

  • Perform daily interoffice, post office, bank, and errand courier services as assigned.
  • Provide general office support (filing, copying, printing, scanning, making labels) as needed.
  • Maintain Office kitchen, cleaning, running dishwasher, and making coffee.
  • Maintain company vehicle by ensuring regular service, maintain fuel level, car wash, tires changes and routine maintenance of vehicle are up to date.
  • Prepare correspondence, letters, reports, manuals, and spreadsheets as directed. Preparation may include composing, presenting for approval, incorporating edits, obtaining signature(s), scanning, printing, and distributing.
  • Processes invoices into electronic accounts payable system.
  • Uploads journal entries into electronic system.
  • Maintain Financial binders, keeping data up to date.
  • Coordinate travel, conference room, and meeting arrangements.
  • Prepare meeting materials and handouts for board meetings.
  • Prepare PowerPoint reports, agendas, and handouts.
  • Be a backup to the Accounting Administrative Assistant for tasks related to meeting minute completion and approvals.
  • Obtain Notary certification and assist with Notary functions.
  • Prepare Expense Reports as needed.
  • Perform other duties as assigned.
  • Work in a constant state of alertness and in a safe manner.

SUPERVISORY FUNCTIONS:

This position has no supervisory responsibility.

KNOWLEDGE, SKILLS, & ABILITIES:

  • Knowledge of administrative and office procedures and systems such as word processing, managing files and records, ordering supplies, and other office procedures and terminology.
  • Exceptional time management skills.
  • Excellent communication skills, both oral and written, in order to deal effectively with a variety of interpersonal relationships and situations.
  • Proficiency with Microsoft suite of programs (Word, Excel, Powerpoint, Outlook).
  • Ability to be a team player and facilitate a team oriented atmosphere.
  • Comprehensive working knowledge of various personal computer business software applications presently used by the Company. Ability to learn new applications.
  • Ability, knowledge, and agility necessary to complete installations and/or repairs.
  • Ability to maintain skills as technology advances.
  • Ability to actively listen and provide high quality customer service.
  • Ability to do business ethically with customers, vendors, and co-workers.
  • Ability to draw conclusions and justify decisions.
  • Ability to be detail oriented; superior organizational, follow-up, and records maintenance skills.
  • Ability to perform basic mathematical computations, detect unobvious facts and issues, and exercise resourcefulness in resolving problems.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals. Ability to write routine reports and correspondence. Ability to learn and understand the Company’s Standard Operating Procedures (SOPs).
  • Ability to work in a Native Corporation multi-business environment.

MINIMUM QUALIFICATIONS:

  • High School Diploma or GED equivalent.
  • Vocational or technical certification training in office administration or substitution.
  • Minimum of one year of intermediate administrative experience required.
  • Valid State Driver’s License and be qualified to operate a vehicle under the conditions of Calista Corporation’s Driving Policy.
  • Ability to pass a reference, drug screen, and background check.
  • Ability to speak Yup’ik preferred.

Ena Holding, LLC’s has a fast paced multi-tasking office environment requiring a high degree of efficient and effective performance. At times, work is performed outside of the office at indoor and outdoor job sites. Adaptability regarding schedule and design changes.
